Job Summary
The Import and Export Assistant supports the import and export operations of the company, ensuring compliance with international trade regulations and efficient handling of goods. This role involves coordination with suppliers, customs brokers, and logistics providers to facilitate the smooth movement of products across borders.
Key Responsibilities
- **Documentation and Compliance**:
- Prepare and review import/export documentation including invoices, bills of lading, certificates of origin, and customs declarations.
- Ensure compliance with international trade regulations and company policies.
- Maintain accurate records of all transactions and ensure proper filing.
- **Logistics Coordination**:
- Coordinate shipments with freight forwarders, customs brokers, and transportation providers.
- Track and monitor shipments to ensure timely delivery.
- Resolve any issues related to delays, damages, or discrepancies in shipments.
- **Supplier and Customer Communication**:
- Communicate with suppliers and customers regarding shipment schedules, documentation requirements, and compliance matters.
- Address and resolve any concerns or inquiries from customers and suppliers.
- **Data Management and Reporting**:
- Maintain and update import/export data in the company's ERP or logistics management system.
- Generate reports on shipment status, costs, and other relevant metrics.
- Analyze data to identify trends and areas for improvement.
- **Regulatory Knowledge and Training**:
- Stay updated on changes in international trade regulations and practices.
- Provide training and support to other team members on import/export procedures and compliance.
**Qualifications**:
- **Education**:
- Bachelor’s degree in Business Administration, International Business, Supply Chain Management, or a related field preferred.
- Relevant certifications in import/export or logistics are a plus.
- **Experience**:
- Previous experience in import/export operations, logistics, or supply chain management.
- Knowledge of customs regulations, INCOTERMS, and international shipping documentation.
- **Skills**:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with ERP systems and logistics management software.
- Attention to detail and problem-solving skills.
Working Conditions:
- Ability to work in a fast-paced environment and handle multiple priorities.
