**JOB DESCRIPTION**

**Job Title**

Front office staff / Receptionist

**Reporting to**
- GM_

**Objective Summary**:
Receptionist is responsible for providing a warm and professional greeting to customers and visitors, answering phones, managing appointments, responding to inquiries, managing paperwork, providing administrative support, and maintaining the reception area.

**Principal Duties and Responsibilities**:
1. Greet customers: The receptionist is the first point of contact for customers when they enter the dealership. They must greet customers warmly and professionally and direct them to the appropriate department.

2. Answer phones: The receptionist must answer the dealership's phone lines promptly, politely, and professionally. They should be able to transfer calls to the appropriate department or take messages accurately.

3. Manage appointments: The receptionist is responsible for scheduling appointments and maintaining the dealership's appointment calendar. This includes booking appointments for sales consultations, service appointments, and test drives.

4. Respond to inquiries: The receptionist must be knowledgeable about the dealership's products and services and be able to provide information to customers and visitors. They should be able to answer basic questions about the dealership's inventory, financing, and services.

5. Manage paperwork: The receptionist is responsible for managing paperwork, including filing and organizing documents, such as invoices, receipts, and contracts.

6. Provide administrative support: The receptionist may be required to provide administrative support to the dealership's management team, such as preparing reports, typing correspondence, and handling incoming and outgoing mail.

7. Maintain the reception area: The receptionist is responsible for maintaining a clean and tidy reception area. They should ensure that the area is organized and that promotional materials are stocked and up-to-date.

**General Duties and Responsibilities**:
8. Act in accordance with company’s policies; Practice a high degree of professional ethics.

9. Submit leave request to GM and HR

10. Follow SOPs set by the company

Bachelor’s degree or relevant field

**Experience**

1+ years’ experience in a similar role.

2+ years’ experience. Prior experience in Receptionist in any Vehicle dealership

**Certifications and/or Licenses**

**Special knowledge, abilities& skills**
- Competence: Need to have excellent communication and interpersonal skills, as well as strong analytical and problem-solving skills. detail-oriented, organized, and able to work independently.
- Language Skills: Strong written and verbal skills in Malayalam & English.
- Attention to detail, Multitasking skills, Professionalism
