Officer - Export Import operation posted at Corporate Office will be responsible for managing all export and import activities from Factories. This includes ensuring all shipments comply with regulations, customs requirements and proper documentation. The role also involves coordinating with internal teams, customs authorities, shipping companies, clearing forwarding agents and customers to ensure smooth and timely delivery of goods.
- **Export Import Documentation**:
- Prepare and review all necessary export and import documents, including Bills, Commercial Invoices, Packing Lists, Certificates of Origin, and Customs Declaration Forms.
- Ensure that all documents comply with international trade regulations and company standards.
- Collaborate with customs brokers to ensure smooth clearance and handling of all shipments.
- **Regulatory Compliance**:
- Ensure adherence to international trade regulations, including export control laws, customs laws, and other applicable guidelines.
- Keep up to date with changes in import/export laws and regulations and ensure compliance across all shipments.
- Support the internal audit process by ensuring proper documentation is maintained for each shipment.
- **Coordination with Internal and External Stakeholders**:
- Communicate effectively with internal departments (Logistics, Finance, Sales, Factory etc.) to ensure timely and efficient documentation processing.
- Coordinate with shipping companies, freight forwarders, and customs authorities to resolve any issues or delays.
- CHA handling, transporter rate fixing
- Maintain communication with customers to ensure that all required documents are provided for smooth international trade.
- **Data Entry Record Keeping**:
- Preparation of MIS, maintain and update all documentation records accurately in the company’s systems.
- Ensure all records are organized and accessible for future reference and audits.
- Prepare periodic reports for senior management on the status of exports and imports.
- **Problem Resolution**:
- Handle any issues related to export/import documentation, such as discrepancies, missing documents, or delays.
- Work with relevant stakeholders to resolve problems swiftly and efficiently.
- **Documentation Verification**:
- Verify the accuracy and completeness of all documents related to exports/imports.
- Ensure proper filing of all documentation and ensure compliance with company policies.
**Qualifications**:
- B.Com/M.Com
- Minimum of 5-7 years of experience in export and import process compliance documentation or a similar role.
- Knowledge of international trade regulations, import/export documentation, and customs procedures.
- Proficient in MS Office (Word, Excel, Outlook)
- Strong attention to detail
- Good communication skills, both written and verbal in Hindi English.
- Ability to work under pressure and handle multiple tasks simultaneously.
- Problem-solving and decision-making skills.
