Job Description: Back Office (Sales)

Position Overview: As a Back Office Sales Assistant, you will play a vital role in supporting the sales department's operations and ensuring the smooth functioning of various administrative tasks. You will work closely with the sales team, providing crucial assistance in maintaining sales records, coordinating with internal departments, and assisting with customer inquiries. This role requires strong organizational skills, attention to detail, and effective communication abilities.

**Responsibilities**:
Sales Support:Assist the sales team in managing customer orders, including order entry, order confirmation, and order tracking.
Collaborate with internal departments such as logistics, finance, and marketing to ensure seamless order fulfillment.
Maintain accurate and up-to-date records of customer interactions, sales activities, and order status.
Prepare sales reports, analyze data, and provide regular updates to the sales team.

Documentation and Data Management:Prepare and maintain sales-related documents, including quotations, contracts, invoices, and sales agreements.
Manage and organize sales-related files and documentation both electronically and physically.
Ensure confidentiality and accuracy of sensitive sales data and information.

Communication and Customer Service:Respond promptly and professionally to customer inquiries, providing information on product availability, pricing, and order status.
Assist with resolving customer issues or complaints, escalating them to the appropriate personnel when necessary.
Liaise with customers, suppliers, and internal stakeholders to coordinate delivery schedules and resolve any logístical challenges.

Inventory Management:Monitor stock levels and coordinate with the warehouse team to ensure sufficient inventory availability.
Assist in conducting periodic stock audits and reconciliations to maintain accurate inventory records.
Collaborate with the purchasing department to track and reorder stock as needed.

Sales Support System:Utilize sales support software and tools to update customer records, manage sales pipelines, and generate reports.
Assist in the implementation and maintenance of CRM (Customer Relationship Management) systems.
Provide training and support to the sales team on utilizing sales support systems effectively.

**Requirements**:

- High school diploma or equivalent; bachelor's degree in business administration or related field is a plus.
- Proven experience in a similar back-office sales support role or administrative position.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- Proficient in using MS Office suite (Word, Excel, Outlook).
- Familiarity with CRM software and sales support tools is advantageous.
- Ability to work collaboratively in a team environment.
- Strong problem-solving and multitasking skills.
- Prioritization and time management abilities.
