Front Office Executive

Reception Duties:
Greet and welcome visitors in a professional and friendly manner.
Answer, screen, and direct incoming calls promptly and efficiently.
Manage the reception area, ensuring it's clean and organized.
Handle incoming and outgoing mail and packages.
Administrative Support:
Provide administrative assistance to executives and managers as needed.
Schedule appointments and maintain calendars for the team.
Arrange meetings and conferences, including booking venues and coordinating logistics.
Prepare and distribute correspondence, memos, letters, and forms.
Maintain electronic and hard copy filing systems.
Process Coordination:
Coordinate workflow and processes within the office to ensure efficiency.
Assist in the development and implementation of office policies and procedures.
Collaborate with various departments to streamline communication and processes.
Track and follow up on action items, ensuring timely completion.
Customer Service:
Provide excellent customer service to clients, visitors, and employees.
Address inquiries and resolve issues promptly and professionally.
Handle complaints or concerns effectively and escalate when necessary.
Office Management:
Maintain office supplies inventory by checking stock to determine inventory levels.
Coordinate maintenance of office equipment and facilities.
Assist in the planning and execution of office events or functions.
Documentation and Reporting:
Prepare and edit documents, reports, and presentations as required.
Compile data and generate reports for management review.
Flexibility to take on additional tasks or projects as needed.
Qualification
- experience in a similar role, preferably in a corporate or professional environment.
Excellent communication and interpersonal skills.
Strong organizational and time management abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office equipment.
Attention to detail and accuracy in work.
Ability to multitask and prioritize tasks effectively.
Discretion and confidentiality in handling sensitive information.
Bachelor's degree or equivalent qualification may be preferred but not always required.
