We are currently seeking a highly organized and detail-oriented Operational Secretary to join our team in the real estate industry. As an Operational Secretary, you will play a vital role in supporting the smooth and efficient operation of our organization. Your exceptional organizational and administrative skills will be essential in maintaining our business operations and ensuring our clients receive the highest level of service.

**Responsibilities**:

- **Appointment Coordination**: Coordinate and schedule appointments, meetings, and conferences, ensuring all necessary arrangements are made.
- **Filing System**: Maintain a well-organized filing system, both electronic and physical, to ensure easy retrieval of documents.
- **Document Preparation**: Assist in preparing and proofreading various documents, including contracts, reports, and presentations.
- **Office Supplies**: Monitor and order office supplies, ensuring adequate stock levels are maintained.
- **Reception Management**: Manage the reception area by greeting visitors, directing them to the appropriate person or department, and maintaining a professional and welcoming atmosphere.
- **Event Support**: Support the organization of events, including making travel arrangements, booking venues, and coordinating logistics.
- **Budget Management**: Assist in preparing and monitoring budgets, tracking expenses, and processing invoices.

**Requirements**:

- **Experience**: Proven experience as an Operational Secretary, Business Secretary or similar role, preferably in the real estate industry.
- **Skills**:

- Excellent organizational and time-management skills, with the ability to handle multiple tasks simultaneously.
- Strong attention to detail and accuracy in data entry and document preparation.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative software.
- Excellent verbal and written communication skills, with the ability to interact professionally with clients and colleagues.
- Strong problem-solving skills and the ability to work under pressure in a fast-paced environment.
- A high level of discretion and confidentiality when handling sensitive information.
- **Knowledge**: Knowledge of real estate terminology and practices is a plus.
