Key Responsibilities:
Greeting and Welcoming Visitors: Welcome visitors, clients, and employees as they
arrive at the office, providing a warm and friendly reception. Direct visitors to the
appropriate person or department.
Managing Incoming Calls: Answer and direct incoming phone calls promptly and
professionally. Relay messages to appropriate staff members when necessary.
Appointment Scheduling: Schedule and manage appointments, meetings, and conference
room bookings for staff and visitors using the organization's scheduling system.
Mail and Package Handling: Sort and distribute incoming mail, packages, and deliveries
to the appropriate recipients. Prepare outgoing mail and packages for dispatch.
Front Desk Maintenance: Keep the front desk area tidy and presentable at all times.
Ensure reception and waiting areas are clean and well-organized.
Administrative Support: Provide administrative assistance to various departments as
required. This may include data entry, filing, photocopying, and other general office
tasks.
Visitor Log and Security: Maintain a log of visitors and ensure compliance with the
organization's security protocols. Issue visitor badges as necessary.
Information Dissemination: Provide basic information about the company, its products
or services, and general inquiries to visitors and callers. Direct specific or complex
inquiries to the appropriate staff member.
Handling Inquiries and Complaints: Respond to inquiries, complaints, and requests in a
courteous and professional manner. Escalate issues to the appropriate staff when
