**Job Title: Office Assistant**
**Job Summary**:
**Responsibilities**:
1. Greet visitors and clients professionally and courteously.
2. Answer phone calls, take messages, and redirect calls to appropriate personnel.
3. Manage incoming and outgoing mail, including sorting, distributing, and organizing correspondence.
4. Maintain office filing systems, both electronic and physical, ensuring accuracy and accessibility of documents.
5. Assist with scheduling appointments and meetings, coordinating calendars, and making travel arrangements as needed.
7. Order office supplies and maintain inventory levels, ensuring proper stocking of essential items.
8. Assist in organizing office events, conferences, and meetings, including arranging catering and coordinating logistics.
9. Perform basic bookkeeping tasks, such as invoicing, tracking expenses, and processing payments.
10. Assist with other administrative tasks and projects as assigned by the management team.
**Requirements**:
1. High school diploma or equivalent; additional education or certification in office administration is a plus.
2. Proven experience as an office assistant, administrative assistant, or in a similar role.
3. Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other office software.
4. Strong organizational and time management skills, with the ability to prioritize tasks efficiently.
5. Excellent written and verbal communication skills, with a professional and friendly demeanour.
6. Ability to work independently with mínimal supervision and collaborate effectively in a team environment.
7. Attention to detail and accuracy in all tasks, with a commitment to maintaining confidentiality.
8. Adaptability and flexibility to handle changing priorities and deadlines in a fast-paced environment.
9. Knowledge of basic bookkeeping principles and maintained and keeping physical records of all transactions.
10. Willingness to learn and take on new responsibilities as needed
