Role Description: A Front Office Executive, who serves as the interface between company, its client, management and employees, with a high level of professionalism and courtesy that leaves a good impression and builds upon a solid reputation. To provide general administrative support, such as scheduling meetings, handling transcription, printing, drafting mails, as well as making travel arrangements and assisting other managers.

- Greeting visitors
- Support and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
- Maintain and refine internal processes that support high-ranking executives company wide, and coordinate internal and external resources to expedite workflows
- Manage communication with employees by liaising with internal and external executives on various projects and tasks.
- Plan and orchestrate work to ensure that senior executives’ priorities are met, organisational goals are achieved, and best practices are upheld.
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
- Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
- Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database
- Maintain professionalism and strict confidentiality with all materials
- Organise team communications and plan events, both internal and off-site Managing meeting room availability
- Receiving, sorting, distributing and dispatching daily mail
- Handling transcription, printing, photocopying and faxing
- Recording and maintaining office expenses
- Overseeing office services like cleaners and maintenance service providers
- Assisting the HR team with recruitment, onboarding and termination processes
- Maintaining safety and hygiene standards of the reception area

**Qualifications and Skills**:

- Bachelor's degree in any field.
- A minimum of three years of Front Office Executive experience preferred.
- Excellent verbal and written communication skills.
- Strong time-management skills and an ability to organise and coordinate multiple concurrent projects.
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Ability to maintain confidentiality of information related to the company and its employees.
- Proficient with Microsoft Office Suite or related software.

Age: 28 to 35 Year
