As an Executive Assistant Trainee, you will play a crucial role in supporting our organisation’s daily operations and long-term goals. You will be responsible for a wide range of administrative and executive tasks, helping to ensure that our team can effectively reach out to and support the communities we serve.

**Key Responsibilities**:

- **Communication**:
Record Keeping:
Maintain accurate and up-to-date records of memberships, donations, and program activities.

Ensure proper filing systems are in place for both electronic and paper documents. Create, maintain, and enter information into databases.
- **Bookkeeping**:
Oversee basic financial management, including tracking income and assisting with monthly financial reporting.
- **General Office Management**:
Place orders and manage office supplies inventory.

Troubleshoot technology issues and coordinate with vendors for services and repairs.

Operate office equipment such as copiers or printers.
- **Event Coordination**:
Assist in organising events and workshops aimed at promoting the causes of the organisation.
- **Executive Support**:
Prepare reports, draft communications, and manage schedules to provide direct support to executive staff.

Manage and maintain executives’ schedules and make travel arrangements for them.
- **Technology Support**:
Utilise database management systems and be proficient in office software like Microsoft Office products.
- **Data Management**:
Engage in work activities involving the use of computers to enter data or process information.

**Skills and Abilities**:

- **Interpersonal Relationships and Communication Skills**:
Develop and maintain constructive working relationships with stakeholders, including executives, team members, and external partners.
- **Information Gathering**:
Observe, receive, and obtain information from relevant sources to support organisational initiatives.

Strong research skills to gather necessary information for administrative tasks and decision-making.
- **Administrative Activities**:
Perform day-to-day administrative tasks such as maintaining information files and processing paperwork efficiently.

Ability to organize and prioritise tasks to meet deadlines in a dynamic, fast-paced environment.
- **Organisational and Planning Ability**:
Strong organisational skills to manage multiple tasks and responsibilities effectively.

Ability to plan and coordinate events, workshops, and other organisational activities.
- **Technical Proficiency**:
Proficiency in office software, including word processing, spreadsheets, and database management.

Familiarity with database management systems.
- **Attention to Detail**:
Keen attention to detail to maintain accurate records and ensure data integrity.
- **Adaptability and Initiative**:
Ability to adapt to changing priorities and work effectively in a dynamic environment.

Strong commitment to the organisation's mission of supporting marginalised children and promoting educational equity.

**Qualification and Experience**:

- A bachelor's degree in a relevant field is preferred.
- Proven experience as an administrative assistant or secretary, preferably in a non-profit setting.
