Job Description: Receptionist - Immigration Office

**Position Title**: Receptionist
**Location**: Chandigarh Sector 17
**Department**: Immigration Services
**Reports To**: Office Manager / Administrative Supervisor

**Key Responsibilities**:

- **Front Desk Management**:

- Greet and welcome visitors in a friendly and professional manner.
- Answer and direct phone calls to appropriate staff members.
- Manage the front desk area, ensuring it is clean, organized, and presentable.
- **Client Assistance**:

- Provide general information to clients regarding immigration processes, requirements, and services offered.
- Assist clients with completing necessary forms and documentation.
- Schedule and manage appointments, ensuring efficient use of office resources and staff time.
- **Administrative Support**:

- Handle incoming and outgoing mail, packages, and deliveries.
- Maintain and update client records and office databases.
- Prepare and distribute correspondence, memos, and reports as needed.
- **Coordination and Communication**:

- Liaise with internal staff and external agencies to facilitate smooth office operations.
- Assist in organizing meetings, conferences, and events.
- Coordinate translation and interpretation services as required.
- **Compliance and Confidentiality**:

- Adhere to all office policies and procedures, particularly those related to confidentiality and data protection.
- Ensure all client interactions and transactions are conducted in compliance with relevant laws and regulations.

**Qualifications**:

- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as a receptionist or in a similar front office role.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., fax machines and printers).
- Strong organizational and multitasking abilities.
- High level of professionalism and customer service orientation.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Knowledge of immigration processes and procedures is an advantage.
- Bilingual or multilingual abilities are preferred.

**Work Environment**:

- This position operates in a professional office environment.
- Standard hours of work are 8 hours,
- The role may require occasional lifting of office supplies and materials.
