The opportunity

Project: A global investment company.

To be responsible for the front office management. Assisting visitors efficiently, courteously and professionally in all front office related functions and to maintain a high standard of service and hospitality at all times.

Your responsibilities will include:

- Welcoming visitors and direct appropriately.
- Using proper telephone etiquette while handling calls.
- Understanding and using properly the mail, message delivery.
- Reporting any unusual occurrence to the manager on duty or the front office manager.
- Maintaining the cleanliness at front desk area at all the times.
- Receiving, directing and relaying telephone messages to the concerned person.
- Assisting in booking of meetings, conferences rooms.
- Providing administrative services.
- To be alert on suspicious calls and inform the manager.
- Providing assistance in general administrative activities.
- Generating of MIS reports.
- Participating in emergency evacuation procedures including crisis management and business continuity.
- Issuing in-house ID cards to the new joiners.
- Assisting HR in new joiner formalities.
- Processing of all invoices for payment.
- Managing the internal and external visitor. Main gate security clearance for all visitors.
- Monitoring the mail room and library activities.

About you

You have a relevant degree qualification with background in corporate industry. Proven experience in handling front office activities. Significant experience in visitor management. Computer literacy and ability to use standard word processing and spread sheet software. You also have excellent customer service. Hotel management degree would be an advantage.

You are digitally savvy, can build lasting client relationships. You will have a facilities management background and be hungry to grow your career and enjoy the opportunities Mace has to offer.
