Job Summary:
The Import Documentation Executive is responsible for managing and ensuring the accuracy and completeness of all import documentation. This role involves coordinating with suppliers, shipping lines, customs agents, and internal teams to facilitate the smooth importation of goods into the country, adhering to all regulatory and compliance requirements.
Key Responsibilities:
- **Documentation Management**: Prepare, review, and manage all necessary documents required for the importation of goods, including bills of lading, invoices, packing lists, certificates of origin, and letters of credit.
- **Compliance**: Ensure compliance with country-specific import regulations, trade compliance, and customs requirements. Stay updated with changes in regulations that may affect the import process.
- **Coordination**: Liaise with suppliers, shipping companies, freight forwarders, customs brokers, and internal departments to ensure timely and accurate document submission and address any discrepancies.
- **Tracking and Reporting**: Monitor the status of shipments and provide updates to relevant stakeholders. Prepare reports on import activities, costs, and timelines.
- **Customs Clearance**: Assist in the customs clearance process by providing necessary documentation and support to customs agents to ensure smooth clearance of goods.
- **Problem Resolution**: Identify, troubleshoot, and resolve issues related to import documentation and processes. Work closely with all parties to prevent delays and additional costs.
- **Record Keeping**: Maintain accurate and organized records of all import documents and transactions for audit purposes and compliance.
Skills and Qualifications:
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- Proven experience in import documentation or a similar role within the logistics, freight forwarding, or import/export industry.
- Strong understanding of international trade regulations, incoterms, and customs procedures.
- Excellent organizational and multitasking abilities with a strong attention to detail.
- Proficient in MS Office and familiar with document management systems.
- Effective communication and negotiation skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Problem-solving skills and the ability to handle complex documentation requirements.
Working Conditions:
- Standard office hours with occasional overtime during busy shipping periods.
- Requires sitting for extended periods and working on a computer.
