We are looking for a Purchase Coordinator / Executive with strong experience in procurement, vendor management, and material coordination in the AV industry.

The candidate should be detail-oriented, cost-conscious, and proactive in ensuring timely material availability for projects.

Key Responsibilities1.

Vendor Management Identify, evaluate, and onboard reliable AV equipment & accessories suppliers.

Maintain and update vendor database with complete information.

Conduct periodic vendor performance evaluations (quality, delivery, pricing).

Build and maintain strong supplier relationships to ensure reliability and consistency.2.

Procurement & Cost Management Issue accurate and timely Purchase Orders (POs) as per project needs and budgets.

Negotiate pricing, payment terms, and delivery schedules to optimize costs.

Ensure procurement strictly adheres to technical specifications and quality standards.

Achieve cost savings without compromising on reliability or performance.3.

Material Availability & Logistics Ensure timely availability of materials for ongoing and upcoming projects.

Track supplier lead times and follow up proactively for on-time delivery.

Handle urgent/unplanned procurement requests.

Plan dispatches in alignment with project execution timelines.

Coordinate with logistics/transport vendors for safe, timely, and cost-effective deliveries.4.

Quality Assurance Verify compliance of procured items with technical & quality standards.

Handle inspections, rejections, and replacements with vendors.

Maintain vendor quality records and drive continuous improvement initiatives.5.

Inventory & Stock Control Monitor stock levels and ensure timely replenishment.

Maintain accurate stock entries, consumption logs, and issue registers.

Provide real-time visibility of stock to project and management teams.6.

Documentation & Compliance Maintain complete procurement documentation: POs, invoices, delivery notes, payments, warranties.

Ensure compliance with audit requirements and company policies.

Prepare delivery challans, gate passes, inward/outward/return material notes.7.

Damage & Risk Management Report and document material damages promptly.

Coordinate with vendors, transporters, and insurers for claims.

Analyze root causes and implement preventive measures.8.

Project Coordination Align purchasing schedules with project execution plans.

Collaborate closely with project teams to ensure timely handover of materials at sites.

Provide status updates to project managers and senior management.

Candidate Requirements Graduate in Supply Chain Management / Business Administration / Electronics / relevant field.

Experience: 2–4 / 3–5 years in procurement, preferably in AV / IT / electronics / system integration industry.

Strong knowledge of AV products such as displays, video walls, control systems, cables, racks, and accessories.

Excellent negotiation, vendor management, and cost control skills.

Proficiency in MS Excel, ERP / SAP tools, and procurement documentation.

Strong organizational skills with ability to multitask.

Good communication skills for coordination with vendors, project, and internal teams.
