Key Responsibilities
Reception Duties :
- Greet and welcome visitors in a warm and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Maintain the reception area, ensuring it is tidy and presentable.
Administrative Support :
- Manage incoming and outgoing mail and packages.
- Assist in scheduling meetings and appointments.
- Maintain office supplies inventory and place orders when necessary.
- Handle basic administrative tasks such as filing, photocopying, and faxing.
Visitor Management :
- Register visitors, issue visitor badges, and maintain visitor logs.
- Ensure visitors are escorted to their intended destination.
Communication :
- Coordinate with various departments to ensure smooth communication flow.
- Relay important messages and information promptly.
Travel and Hotel Booking Management :
- Arrange travel itineraries, including flights, transportation, and accommodations for staff and executives.
- Book hotels, rental cars, and other travel-related services.
- Ensure travel arrangements are efficient and cost-effective.
- Assist with visa applications and other travel documentation as needed.
Security and Safety :
- Follow security procedures for visitor entry and exit.
- Monitor and report any suspicious activity to the security team.
Requirements:
- Qualification: Graduation or Masters
- Experience in front desk operations and travel booking.
- Proficiency in MS Office and travel management systems.
- Strong communication, organizational, and customer service skills.
