Role Overview:

The Production Coordinator will support the production and order fulfillment process by managing day-to-day operations, ensuring that orders are processed, tracked, and delivered efficiently. The role will involve coordinating between sales, production, and dispatch teams, ensuring smooth workflows from order placement to final delivery.


Key Responsibilities:


1. Order Management:

Update and maintain the online order sheet by integrating data from Shopify and other platforms.

Ensure that all confirmed orders are updated with accurate dispatch dates.

Track and report any discrepancies or delays in order fulfillment.


2. Production Coordination:

Input orders into the Production Group system, ensuring that the correct products are assigned for manufacturing according to the order sheet.

Ensure all necessary measurements and design specifications are confirmed and provided to the production team in a timely manner.

Work with the sales and design teams to ensure product specifications (size, color, fabric, etc.) are correctly communicated.


3. Quality Control:

Oversee the preparation of data for final quality checks (QC) before dispatch, ensuring that all products meet brand standards.

Ensure that all products are inspected for defects and quality issues, and maintain records of QC outcomes.


4. Exchange & Alterations:

Segregate returned items for exchange or alteration and inform the sales team for further processing.

Coordinate with the production and alterations teams to ensure timely adjustments and repairs.


5. Inventory Management:

Assist in monitoring raw material inventory and ensure that supplies are reordered in a timely manner to prevent production delays.

Track inventory of finished goods to ensure stock levels are adequate for upcoming orders.


6. Logistics & Dispatch:

Collaborate with the logistics team to schedule dispatch after parcel is ready.

Track shipments and plan estimated dispatch date for smooth functioning in production, address issues or delays, and communicate with team regarding their order status.


7. Documentation & Reporting:

Maintain up-to-date records of production schedules, shipping timelines, and QC inspections.

Generate regular reports for the production and sales teams on order status, production progress, and any issues that arise.


8. Team Support:

Act as a point of contact between the production, sales, and logistics teams to resolve any production or order-related issues.

Provide administrative support to the Production Manager as needed.


9. Process Improvement:

Identify areas for improvement in the production process and suggest solutions to enhance efficiency and reduce errors.

Assist in streamlining workflows between departments to ensure smooth operations.



Skills & Qualifications:


- Strong organizational and time management skills.

- Attention to detail and a commitment to quality.

- Proficiency with order management systems (e.g., Shopify), Google sheets and Microsoft Excel.

- Basic understanding of apparel production processes.

- Excellent team communication skills and ability to work in a team.

- Ability to multitask and handle pressure in a fast-paced environment.

• Knowledge of fabrics and their properties is preferred.

• Undergraduate degree is acceptable, with a preference for graduates in fashion or related fields.
