Job Description:

We are seeking a meticulous and organized Documentation Assistant to join our Documentation and Information Management team. The ideal candidate will be responsible for assisting in the creation, organization, and maintenance of company documents, manuals, and records. The Documentation Assistant will work closely with various departments to ensure that documentation meets organizational standards and regulatory requirements.

Key Responsibilities:

- Document Creation: Assist in creating and formatting documents, including manuals, technical reports, policies, procedures, and forms.- Document Organization: Maintain a centralized repository for all company documents, ensuring easy access and version control.- Editing and Proofreading: Review documents for accuracy, consistency, and clarity, correcting grammar, punctuation, and formatting errors as needed.- Collaboration: Collaborate with subject matter experts and department heads to gather information and verify content accuracy.- Compliance: Ensure that all documents adhere to company guidelines, industry standards, and regulatory requirements.- Document Lifecycle Management: Assist in managing the lifecycle of documents, including drafting, revising, archiving, and disposing of outdated materials.- Quality Assurance: Conduct quality checks on documents to ensure they meet established standards and reflect the company's brand voice.- Training and Support: Provide training and support to staff on document management procedures and best practices.- Documentation Updates: Regularly update existing documents to reflect changes in processes, policies, or regulations.

Required Skills and Qualifications:

- Education: Bachelor’s degree in English, Communications, Information Management, or a related field.- Experience: Previous experience in document management, technical writing, or related roles is preferred but not required.- Attention to Detail: Meticulous attention to detail and strong editing skills to ensure accuracy and consistency in documentation.- Organizational Skills: Ability to organize and prioritize tasks effectively, managing multiple projects simultaneously.- Communication: Excellent written and verbal communication skills, with the ability to communicate technical information clearly and concisely.- Team Player: Collaborative attitude with the ability to work effectively in a team environment and build positive relationships across departments.- Technical Proficiency: Familiarity with document management systems (e.g., SharePoint, Google Drive) and proficiency in MS Office (Word, Excel, PowerPoint).
