Ideagen is seeking a highly motivated and skilled People Assistant who will provide organized and proactive administration support in responding to different HR queries and issues by acting as the first point of contact for all employees contacting the People team throughout the employee life cycle.

This role will form part of team collective efforts at supporting more than one country/location.

While reporting to the VP of People (Shared Services), this role will support the VP/Head of People/People Business Partner with the delivery of the wide scope of HR services as well as supporting the wider teams of Talent Acquisition and Reward.

Responsibilities:

  • To deliver excellent customer service to the business ensuring accuracy and efficiency with responses.
  • As part of the employee life cycle, support with the onboarding of new starters through sending offers of employment, setting them up on the electronic HR system and filing of personnel related documents, onboarding & inductions, conducting right to work and background verification checks, ensuring all payroll documents are provided and monitoring probation progress. This may involve documentation support with performance reviews, disciplinary matters and others.
  • Be the first line support for employees and line managers with general queries and advice on policies, escalating to the VP/Head of People/People Business Partner where required.
  • Own incoming queries in the People shared inbox for the business area and categorizing where appropriate.
  • Provide HR related inputs for payroll processing purposes to the Finance team/payroll vendor.
  • Provide notetaking support in formal meetings and write up formal outcome letters where necessary.
  • Draft and produce employee letters such as changes to terms and conditions, family leave, references and resignation acknowledgements.
  • Provide proactive support to the wider People team.
  • Produce reports and analysis on People data.
  • Building positive and effective relationships with the wider business and appropriate stakeholders.

Skills and Experience:

  • Must have 4 years of experience on US Federal and State Labor Laws and Regulations, to ensure company compliance.
  • Benefits Administration: Managing employee benefits programs, including enrollment, changes, and terminations.
  • Payroll Processing: Sharing inputs for accurate and timely payroll processing, including deductions and tax withholdings.
  • Experience in working with Workday.
  • Should be flexible to work in overlapping work hours for India and US.
  • Have an administrative background and ability to hit the ground running.
  • A flexible approach to new challenges and comfortable working in an environment which is subject to change.
  • Be a team player with a proactive 'can do' attitude and high levels of professionalism, values & ethics.
  • The ability to work and communicate with a diverse range of people.
  • A well organized and methodical approach with high levels of attention to detail.
  • An understanding of the importance of absolute confidentiality and discretion.
