Role Description
This is a full-time on-site role for an Executive Assistant to the Chief Executive Officer at Oben Electric in Bengaluru. The Executive Assistant will provide comprehensive administrative support and assistance to the CEO. Daily responsibilities include managing expense reports, diary management, and providing executive support. The Executive Assistant will also provide general administrative assistance to ensure smooth operations.
Key Responsibilities:
Calendar Management: Coordinate and manage executives' schedules, including appointments, meetings, and travel arrangements, ensuring efficient time utilization.
Communication Handling: Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing correspondence, emails, and phone calls.
Administrative Support: Provide comprehensive administrative support, including drafting and editing correspondence, preparing reports, and maintaining accurate records.
Meeting Coordination: Arrange and organize meetings, conferences, and events, including logistical arrangements, agenda preparation, and documentation.
Confidentiality Management: Maintain strict confidentiality of sensitive information, exercising discretion in handling confidential documents and communications.
Task Prioritization: Anticipate and prioritize tasks, deadlines, and deliverables, ensuring timely completion and proactive follow-up on pending issues.
Travel Arrangements: Facilitate travel arrangements, including booking flights, accommodations, transportation, and itinerary planning, to ensure smooth and hassle-free travel experiences.
Documentation Management: Manage and maintain filing systems, databases, and other organizational tools, ensuring easy retrieval and access to relevant information.
Project Support: Provide administrative support for special projects and initiatives, coordinating resources, tracking progress, and facilitating communication among team members.
Ad Hoc Support: Assist executives with ad hoc tasks and projects as required, demonstrating flexibility and willingness to contribute to the overall success of the team.
Qualifications
Bachelor's degree in Business Administration, Secretarial Studies, or related field preferred.
Proven experience as an executive assistant, personal secretary, or similar role, preferably supporting C-suite executives.
Proficiency in office productivity software (e.g., Microsoft Office suite, Google Workspace) and familiarity with administrative tools and systems.
Excellent communication skills, both verbal and written, with a professional and courteous demeanour.
Strong organizational and multitasking abilities, with keen attention to detail and accuracy.
Discretion and integrity in handling confidential information and sensitive situations.
Ability to work independently with minimal supervision and as part of a collaborative team.
Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
Strong problem-solving skills and proactive approach to addressing challenges effectively.
Experience in executive administrative assistance and executive support
Proficiency in managing expense reports and diary management
Strong administrative assistance skills
