Position: Admin & Facility Associate

Experience: 8-12 years

Location: Goregaon & BKC

Key Responsibilities:

Facility Management:

- Oversee the upkeep of the site, ensuring high standards of operations, maintenance, and cleanliness.- Handle all repair and maintenance activities related to office premises.- Manage office inventory, rental, repair, and maintenance of office equipment.- Ensure medical room and horticulture requirements are met.- Maintain all service records and test certificates.- Liaise with building management services and government agencies as required.- Manage activities of contractors, vendor personnel, and suppliers.- Analyze and recommend solutions for complaints.

General Administration:

- Organize and supervise the day-to-day operations of the administrative department and staff members.- Monitor, develop, review, and improve admin and facilities systems, policies, and procedures.- Manage vendor contracts, scrutinize bills/invoices for payments.- Communicate the status of all admin and facilities-related matters to the department head.- Assist the department head with administrative functions, security issues, and facility services.- Coordinate office insurance and compliance-related activities.- Coordinate with banking partners for corporate credit card-related matters.

Skills and Qualifications:

- Proven experience in team management, overseeing admin and front office staff.- Strong coordination skills with internal and external stakeholders.- Good technical knowledge related to fire systems, electricals, and HVAC.- Ability to troubleshoot or make decisions independently until vendor assistance is available.- Excellent written and verbal communication skills.
