Role Overview
As the Executive Assistant to the Director, you will ensure seamless operations by managing communication, optimizing scheduling, and implementing operational systems. Your engineering or operations background and technical aptitude—especially in Google Sheets and basic automation—will enable you to elevate efficiency, support strategic initiatives, and drive high-impact outcomes in a dynamic setting.
Key Responsibilities
- Communication & Coordination
- Draft, proofread, and manage written correspondence, reports, presentations, and meeting materials.
- Serve as the primary point of contact between the Director and internal/external stakeholders.
- Gatekeep and prioritize calls, emails, and requests with discretion and professionalism.
- Scheduling & Calendar Management
- Organize and manage complex calendars, schedule meetings, compile agendas, and ensure follow-through on action items.
- Operations & Systems Support
- Leverage your engineering or operations experience to design, monitor, and refine operational workflows and systems.
- Assist in project coordination and status tracking, ensuring timelines and deliverables are met.
- Technology & Automation
- Demonstrate proficiency in Google Sheets, including formula writing, data management, and basic reporting.
- Implement simple automation—such as using Google Apps Script for reminders, workflows, or data updates—to streamline tasks.
- Utilize Google Workspace tools (Docs, Slides, Calendar) and relevant business software seamlessly.
- Documentation & Records Management
- Maintain both digital and physical filing systems, manage sensitive documents, and ensure information is accessible and well-organized
- Event & Meeting Support
- Assist in planning and coordinating events, workshops, or offsite meetings, including logistics, agendas, and support materials.
Required Qualifications & Attributes
- Educational & Professional Background
- Degree in Engineering, Operations Management, Business, or a related field.
- Experience in engineering, operations, or systems-focused roles is highly valued.
- Technical & Automation Skills
- Strong proficiency in Google Sheets with ability to build dashboards, trackers, and reports.
- Basic experience in automation, ideally using Google Apps Script—or a willingness to learn and implement it.
- Communication Skills
- Exceptional written and verbal skills—clear, professional, and precise communication is essential.
