Job description
Job Brief:
We are seeking an HR & Admin Specialist to join our team, responsible for overseeing Human Resources, administrative tasks, and recruitment functions. This role involves managing the day-to-day HR operations, ensuring efficient recruitment processes, and handling administrative duties to support the organization.
Responsibilities:
1. Maintain physical and digital personnel records, including employment contracts, PTO requests, and other HR-related documentation.
2. Update internal databases with new hire information and ensure data accuracy.
3. Create, distribute, and update guidelines and FAQ documents regarding company policies.
4. Gather and manage payroll data, such as bank accounts and working days.
5. Publish and remove job advertisements on various platforms.
6. Schedule job interviews, contact candidates, and assist in the hiring process.
7. Prepare reports and presentations on HR-related metrics, such as total number of hires by department.
8. Develop training and onboarding materials for new hires.
9. Respond to employees' inquiries regarding benefits and HR policies.
10. Perform general administrative tasks such as answering phones, managing office supplies, and organizing meetings.
Recruitment Responsibilities:
1. Oversee all stages of the hiring process from sourcing to onboarding.
2. Advertise open positions on job boards, social networks, and other channels.
3. Coordinate internal hiring procedures and communicate with hiring managers.
4. Screen resumes and applications based on essential criteria.
5. Conduct interviews via phone, video, and in-person meetings.
6. Track recruiting metrics like time-to-hire and source of hire.
7. Build relationships with potential candidates for future opportunities.
8. Extend job offers, negotiate terms, and process employment forms.
9. Collaborate with hiring managers to forecast staffing needs and participate in job fairs.
10. Promote the company as an employer of choice.
Requirements:
1. Relevant work experience as an HR & Admin Officer, HR Administrative Assistant, Hiring Specialist, or similar roles.
2. Familiarity with HRIS, Applicant Tracking Systems, and HR Management Software.
3. Basic knowledge of labour legislation and recruitment best practices.
4. Experience using spreadsheets and social networks for recruitment purposes.
5. Excellent organizational, communication, and time management skills.
6. Master's degree in Human Resources Management or a related field.
