Knowledge Management Specialist - HR Operations

Job Summary:

We are seeking a highly organized and detail-oriented Knowledge Management Specialist to join our Operations team. The ideal candidate will be responsible for creating, managing, and optimizing knowledge-sharing processes, ensuring that all Country-related information is accessible, accurate, and up-to-date. This role will support the HR team by improving operational efficiency, enhancing employee and client experience, and fostering a culture of continuous learning and knowledge sharing.

Key Responsibilities:

  • Develop and Maintain Knowledge Repositories :
  • Create and manage a centralized repository of HR policies, procedures, templates, and best practices across countries
  • Ensure all documentation is up-to-date, accurate, and easily accessible to Sales/ CSM/ Ops team members
  • Content Creation and Curation :
  • Develop high-quality content such as FAQs, guides, manuals, and training materials.
  • Collaborate with Country experts to gather and curate relevant information.
  • Knowledge Sharing and Collaboration :
  • Implement and manage knowledge-sharing platforms (knowledge bases, collaboration tools).
  • Promote and facilitate knowledge-sharing sessions, workshops, and training programs.
  • Process Improvement :
  • Identify gaps in existing knowledge management processes and propose improvements.
  • Develop and document standardized processes and workflows for HR operations.
  • Data Analysis and Reporting :
  • Monitor and analyze the usage and effectiveness of knowledge management systems.
  • Generate reports and metrics to measure the impact of knowledge management initiatives.
  • Continuous Improvement :
  • Stay updated on the latest trends and best practices in knowledge management and HR operations.
  • Recommend and implement new tools and technologies to enhance knowledge management capabilities.

Qualifications:

  • Education :
  • Bachelor’s degree in Human Resources, Business Administration, Information Management, or a related field.
  • Experience :
  • 3-5 years of experience in HR or operations environment preferably with a role involving knowledge management
  • Experience with knowledge management systems, content management platforms, and collaboration tools is a plus
  • Skills :
  • Strong organizational and project management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in creating and managing documentation and training materials.
  • Ability to analyze data and generate actionable insights.
  • Strong interpersonal skills and the ability to collaborate effectively with cross-functional teams.
  • Technical Proficiency :
  • Familiarity with HR software systems (e.g., HRIS, LMS).
  • Proficient in using knowledge management tools and platforms (e.g., Confluence, Notion).
  • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint).
