Role Overview :

The Executive Secretary will play a pivotal role in supporting the administrative, operational, and compliance functions of the Trust. The ideal candidate will coordinate effectively with stakeholders, ensure smooth communication with external advisors, and prepare critical organisational documents such as meeting minutes, board resolutions, and communication materials like pitch decks and brochures.

Key Responsibilities :

  • Compliance Coordination : Serve as the liaison with Chartered Accountants (CAs) and other external advisors for compliance matters, ensuring timely communication and maintaining records of compliance requirements and deadlines.
  • Meeting Documentation : Prepare accurate minutes of board meetings and internal discussions, and draft and finalise board resolutions while maintaining a repository of all board decisions.
  • Administrative Support : Manage schedules, appointments, and communications for the Trust's leadership while maintaining comprehensive records of trust-related documents and filings.
  • Content Development : Create professional pitch decks, brochures, and presentations for donors, stakeholders, and events, and assist in proofreading reports and proposals.
  • General Coordination : Collaborate with internal teams and external partners for programme updates, reporting, and day-to-day operational support to ensure smooth functioning of the Trust.

Qualifications :

  • Education : Bachelor’s degree in Business Administration, Social Work, Communications, or a related field.
  • Experience : 2–4 years of experience in administrative roles, compliance support, or content development; experience within the nonprofit/NGO sector is a plus.
  • Skills : Excellent verbal and written communication skills in English, strong organisational abilities, proficiency in Microsoft Office, and experience in creating professional presentations and content.
