IT Administrative Assistant

The IT admin Assistant will be responsible for directing and carrying out the day to day IT related office admin activities at the Bangalore office as well as carrying out similar activities for the global Vontier IT function. This role will report into the Vontier IT Infrastructure and Operations VP. This essential role is very versatile and forms the backbone for keeping the Vontier IT function running smoothly. In order to achieve this the Admin Assistant will carry out the following functions; generating and delivery of all Vontier IT related communications across the globe, and managing the invoice admin function for the Vontier IT related services and support, arranging global Vontier IT-meetings and providing relevant IT related assistance to the Vontier IT Leadership team.
The IT admin assistant will be located at the Bangalore office and will therefore also be required to carry out the functions relating to office management at the Bangalore office, including office access, arranging meetings and catering, ensuring that meeting rooms are booked, transport is arranged where applicable for international visitors, assisting with employee onboarding and any other office management related tasks.
WHAT YOU WILL DO
• Draft and deliver all Vontier IT related communications.
• Assistant to Vontier IT Leadership Team (Setting up meetings, Travel arrangements and drafting communications).
• Manage the relationship with IT vendors and support providers at the Bengaluru office.
• Manage the 3rd party vendor Invoice administration tasks for the Vontier IT function.
• Manage office security access for IT associates, contractors, and visitors at the Bengaluru office.
• Arrange Vontier IT virtual meetings and arrange meetings and catering at the Bangalore office.
• Book meeting rooms and ensure availability at the Bengaluru office.
• Arrange transport for international IT team Visitors to the Bengaluru office.
• Ensure that building access and security procedures are maintained and followed by the Vontier IT staff at the Bengaluru office.
• Collaborate with the global Vontier IT team remotely.
WHO YOU ARE
REQUIRED
• A relevant vocational education and training qualification, or equivalent work experience, or appropriate professional certifications.
• Previous experience in an administrative role. Typically, can demonstrate 5 years of work experience.
• Office 365 proficiency
• Excellent written and spoken communication skills.
• Ability to work with minimal supervision.
• Good problem-solving skills.
PREFERRED
• Degree qualification.
• Previous Experience in a similar role.
