About Us :

We are a growing and a leading patent law firm based in Gurugram, specializing in intellectual property rights and providing comprehensive services to our clients. We are seeking a dedicated and skilled Typist + Executive Assistant to support our senior leadership, including the senior partner/owner, in managing various tasks that ensure smooth day-to-day operations of the firm.


Key Responsibilities:
  • Typing & Documentation :
  • Perform fast and accurate typing of legal documents, patent applications, agreements, and other related materials.
  • Prepare and format documents in compliance with the firm’s standards.
  • Proofread and edit documents to ensure clarity, accuracy, and quality.
  • Administrative Support :
  • Provide high-level administrative assistance to senior leadership, including managing their schedules, travel arrangements, and meeting coordination.
  • Handle emails, draft responses, and prioritize incoming communication as directed by the senior partner/owner.
  • Maintain filing systems, both physical and digital, ensuring easy access and confidentiality.
  • Communication & Collaboration :
  • Serve as the primary point of contact for internal and external communications on behalf of senior leadership.
  • Engage in active listening during discussions with senior management to provide accurate follow-up actions and support.
  • Coordinate with colleagues, clients, and other stakeholders to ensure efficient workflow and timely project delivery.
  • Scheduling & Calendar Management :
  • Manage calendars for senior leadership, scheduling meetings, appointments, and conference calls.
  • Ensure that the senior leader is well-prepared for meetings and briefed on the relevant materials or discussions.
  • Routine Tasks & Support :
  • Handle routine administrative tasks such as document preparation, filing, and record-keeping.
  • Support the senior leader with ad-hoc tasks as necessary, including assisting with preparation for patent filings and legal documentation.
  • Client & Office Management :
  • Maintain a professional relationship with clients, assisting in meeting coordination, follow-up actions, and ensuring a smooth client experience.
  • Support office operations with general office management duties when required.

Required Skills & Qualifications:
  • Typing Skills :
  • Excellent typing speed (minimum 50 words per minute) with high accuracy.
  • Proficient in using legal terminology and understanding the nuances of patent law documentation.
  • Administrative & Executive Support :
  • Previous experience (2+ years) in providing executive assistance to senior leadership, preferably within a legal or corporate environment.
  • Demonstrated ability to manage multiple tasks, prioritize effectively, and handle time-sensitive issues efficiently.
  • Communication & Interpersonal Skills :
  • Good command over English language , with the ability to draft emails, reports, and other documents in a clear and professional manner.
  • Active listening skills, with the ability to quickly understand requirements and take initiative to fulfill tasks.
  • Strong collaboration skills and the ability to work closely with a senior leader and colleagues.
  • Attention to Detail :
  • High attention to detail, particularly in document preparation, proofreading, and ensuring accuracy.
  • Technical Skills :
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal software tools.
  • Organizational Skills :
  • Strong organizational abilities, with experience in managing multiple calendars and meeting schedules.
  • Ability to handle confidential information with discretion and professionalism.
Educational & Experience Requirements:
  • Education :
  • Minimum of a Bachelor’s degree or equivalent.
  • Experience :
  • 2+ years of experience in a similar role, preferably within a law firm or corporate environment.
