Key Role & Responsibilities

The responsibilities include, but are not limited to:

  1. Financial Accounting

  2. Verification of all bills and supporting documents and ensuring that all the payments are made in accordance with TLF standard procedures and help in communication on all financial issues to various teams

  3. To ensure that all financial transactions are recorded accurately and in time.
  4. To check receipt and payment vouchers & approve them post verification and in compliance with TLF policies and regulatory requirements.
  5. Carry out controlling and supervision to ensure timely payment of all office operation costs, e.g., rent, electricity, water, telephone, internet bills etc.
  6. To regularly scrutinize the ledgers, cash balance, all imprest accounts to ensure funds are properly utilized and accounting transactions are being correctly recorded.
  7. To maintain vendor records and payments.
  8. To liaison with banks for receipts, payments and transfers including investments.
  9. Ensuring that all bank accounts are reconciled on a monthly basis.
  10. Maintaining and meeting the fund requirements at different location of programs.
  11. Ensuring management of filing systems and maintaining office records/registers
  12. Responsible for office cash maintenance.

  13. Statutory Compliances:

  14. To coordinate with statutory auditors for the annual audit process and provide necessary documents and records.

  15. To support donor audits including addressing of audit queries and to prepare reports and utilization certificates for individual donor projects as per terms and conditions of the grants.
  16. To coordinate with tax /PF consultants for preparing replies to notices from Income Tax, FCRA and PF department and provide detailed information / documents asked for during income tax scrutinizes.
  17. Ensuring timely payment and deposit of EPF on month-to-month basis, co -ordination with PF consultant for filing quarterly and annual returns and for issuing annual PF statement to staff.

  18. Grant Management & MIS

  19. Coordination with Program teams in managing Grants and contracts.

  20. Review of Financial reports and documents submitted by partners.
  21. Processing of Due diligence for new partners, signing of MOUs, release of tranches and final closure of individual partner grants online.
  22. Reconciliation of donor balances.
  23. To analyse donor agreements to ascertain usage of funds as per agreement with donor.
  24. To track on line donations
  25. To provide documents and information for new grant proposals

  26. Project Accounting:

  27. Project accounting for TLF projects implemented through partner NGO, s to ensure timely and accurate booking of project expenses.

  28. To track all advances made to projects and individuals and their timely reconciliation upon submission of bills.
  29. To coordinate with project staff for any financial queries/clarifications.
  30. To prepare donor reports /utilization certificates for donor reporting in co-ordination with program teams.
  31. To conduct financial review of selected NGO partners and submit review report.

  32. Support in Admin activities:

  33. Develop and maintain a filing system to manage all the relevant documents of the program

  34. Identify and finalize vendors for all procurements, travel, bookings, contracting etc
  35. Organize and schedule meetings and take detailed minutes
  36. Act as the point of contact for internal and external clients
  37. Process invoices and follow up with clients, suppliers, and partners as needed.
  38. Provide administrative support during budget preparation
  39. Participate in quarterly and annual audits

Key Skills and Competencies:

Language requirements:

  • Good command of English & Hindi (Regional Language will be an added benefit);
  • M.com/ MBA in Finance
  • Around 5 years of experience in finance, accounting & admin. Experience with not-for-profit preferred
  • Experience of working on any ERP software preferred
  • Working knowledge of excel spreadsheets
