Job Summary:
We are seeking a highly skilled PMO & Senior Coordinator with 4-5 years of experience to support program management activities, project coordination, financial planning, HR coordination, and team leadership. The role requires proficiency in advanced data analysis, project reporting, and scrum facilitation, coupled with strong client communication skills.
Key Responsibilities:
Program and Project Management Support:
- Assist in the planning, execution, and monitoring of projects to ensure successful delivery within timelines.
- Maintain and update project plans, timelines, and milestones.
- Provide HR coordination support, including managing basic people management tasks, such as tracking team performance, attendance, and facilitating team onboarding processes.
Resource and Team Management:
- Track and manage resource allocation, team onboarding, and attendance.
- Support workforce planning and coordinate with internal teams to optimize resource utilization.
- Oversee basic people management tasks, fostering a collaborative and productive work environment.
Billing, Timesheet, and Cost Management:
- Track timesheets, monitor billing and expenses, and ensure timely submission of project costs for billing purposes.
- Collaborate with finance teams to streamline the billing cycle.
Reporting and Data Analysis:
- Use Excel and other reporting tools to generate reports on project status, resource utilization, and team performance.
- Conduct data analysis to identify trends, support decision-making, and drive process improvements.
Stakeholder and Client Communication Management:
- Act as a liaison between project teams, clients, and management, ensuring smooth communication and collaboration, provide project updates, address their needs, and ensure the alignment of deliverables with expectations.
- Conduct project review meetings, prepare project reports, and identify and mitigate risks
- Organize and facilitate meetings, prepare minutes, and follow up on action items.
Scrum Facilitation and Agile Practices:
- Facilitate all scrum ceremonies, including Daily Standups, Sprint Reviews, Sprint Retrospectives, and backlog updates.
- Collaborate with clients to identify project requirements, scope, and objectives and align development efforts with sprint timelines.
Data-Driven Decision Making and Financial Planning:
- Generate, analyze, and present data-driven reports for project performance, team efficiency, and financial tracking and create detailed dashboards and reports for decision-making.
- Track project costs, billing cycles, and financial data to ensure accurate and timely invoicing and budget adherence.
Team Leadership and Process Improvement:
- Lead and mentor project teams, promoting a collaborative and high-performance culture.
- Propose and implement process improvements to enhance project delivery, efficiency, and stakeholder satisfaction.
Skills and Experience Needed:
- Education:
- MBA or Engineering degree from a reputed institution.
- Professional Experience:
- 4-5 years of experience in project/program management, coordination, and PMO activities.
- Proven experience in scrum facilitation, project planning, and financial management.
- Technical Skills:
- Advanced proficiency in MS Excel (macros, pivot tables, data analysis) and project management tools (JIRA, MS Project).
- Experience with Agile and Scrum frameworks.
- Soft Skills:
- Strong interpersonal and communication skills to engage effectively with clients, stakeholders, and cross-functional teams.
- High attention to detail, problem-solving abilities, and the ability to work independently.
