The Deputy Registrar plays a pivotal role in ensuring statutory compliance, overseeing academic council activities, managing statutory committees, and facilitating various administrative functions within the university. The incumbent will be responsible for maintaining adherence to UGC guidelines, facilitating academic council meetings, managing statutory committees, and overseeing student-related processes.

Key Responsibilities:



Statutory Compliance:


  • Ensure compliance with statutory requirements outlined by UGC, BCI, AICTE, NAAC, AISHE, RUSA, and KSHEC
  • Receive circulars, notifications, and letters and initiate appropriate responses in the absence of the Registrar.
  • Monitor and oversee file maintenance to ensure statutory compliance.

Academic Council:

  • Maintain member lists and communication details for the Academic Council.
  • Arrange ordinary, extraordinary, and special meetings of the Academic Council as directed.
  • Prepare notices, agendas, resolutions, and other relevant documents for Academic Council meetings.
  • Ensure communication of meeting details to all members and maintain attendance records.
  • Record minutes of proceedings and communicate them to members and the Pro-Chancellor after necessary approval.

Board of Studies:

  • Maintain member lists, communication details, and minutes for the Board of Studies.

Statutory Committees:

Anti-Ragging Committee:

  • Maintain policy documents, committee lists, and communication details.
  • Ensure submission of Anti-Ragging undertakings during admissions.
  • Conduct disciplinary meetings and maintain records.

Grievance Redressal:

  • Receive and classify grievances from the ERP portal.
  • Direct grievances to appropriate committees/persons for resolution.
  • Follow up on action taken.
  • Prevention of Sexual Harassment (POSH):
  • Maintain ICC lists, communication details, and policy documents.
  • Facilitate communication, maintain minutes of meetings, and share relevant resources.
  • Committee for Gender Equality:
  • Support the functioning of the committee as required.
  • Disciplinary Committee:
  • Conduct meetings, maintain committee lists, and communication details.
  • Issue appropriate communications (e.g., Show Cause Notices) as directed.
  • Monitor maintenance and updating of student disciplinary records, including communication to relevant departments and tracking of disciplinary issues.

Other Responsibilities:

  • Verify student eligibility as per UGC and ODL norms.
  • Manage examination-related activities, food court menu approvals, and staff operations related to scholarships.
  • Liaise with the International Office for student verification and attendance monitoring.
  • Monitor student record collection, verification, and data entry processes.
  • Facilitate student exit certificates issuance and onboarding processes.
  • Monitor pending documents and send reminder communications.
  • Verify withdrawal application forms and oversee ID card issuance.
  • Ensure timely submission of pendency lists to the examination department.
