Designation: Executive Assistant to the CEO

Role summary: Our client is seeking an exceptionally talented and motivated Executive Assistant to the CEO to join their high-growth, rapidly scaling company. As an Executive Assistant at StylSmyth Ventures, you will be an integral part of the executive team, providing essential support in managing client relationships, coordinating with overseas offices, conducting research projects, and ensuring efficient systems and processes are in place. You will play a critical role in compiling reports and data to facilitate decision-making and enhance operational efficiency across the organization.


Our client company is seeking an experienced and dedicated Executive Assistant to support their CEO in managing his executive office (he works from the US & India intermittently) and ensuring seamless communication, coordination & operational efficiency for the entire organization of 100-150 employees & growing.


Key Responsibilities:

  • Serve as a secondary point of company contact (other than the CEO) for clients, maintaining strong relationships with them and ensuring their needs are met (via delivery of services as mandated).
  • Coordinate with overseas offices, including scheduling meetings, communicating priorities, and facilitating collaboration.
  • Conduct research projects on market trends, competitor analysis, and industry developments to support strategic decision-making. (Must have had this experience in previous roles)
  • Follow up on systems and processes to ensure they are implemented effectively and identify areas for improvement. (Setting up of operational excellence frameworks for achieving company growth & smooth functioning objectives)
  • Compile and analyze data to create reports, presentations, and dashboards for the executive team. (Must have experience on creating data dashboards on MS Excel, presentations on MS PPT & indepth knowledge of the MS Office suite & web applications)
  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements across different time zones.
  • Assist in preparing meeting agendas, taking meeting minutes, and following up on action items.
  • Handle confidential information with discretion and professionalism.
  • Anticipate needs and proactively address issues to enhance executive productivity and efficiency.
  • Assist with special projects and initiatives as assigned by the senior management team.
  • Manage travel arrangements and some portion of personal work


Requirements:

  • Bachelor's degree preferred.
  • Proven experience as an executive assistant or similar role, with a focus on client relations and international coordination.
  • Excellent organizational and time management skills with the ability to prioritize tasks.
  • Strong research skills, with the ability to gather and analyze information from various sources.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility and adaptability to work in a fast-paced environment across different time zones.
  • Attention to detail and high level of accuracy.
  • Strong communication skills, both written and verbal.
  • Professional demeanor and positive attitude.
