- We are seeking a highly organized and proactive Assistant to support our Global Director.
- This role is critical in ensuring the smooth operation of the executive's office and involves a variety of administrative tasks, project management, and strategic support.
Key Responsibilities:
- Assist in the coordination and management of strategic projects and initiatives, ensuring alignment with organizational goals.
- Track project timelines, deliverables, and milestones, providing regular updates to support informed decision-making.
- Conduct research and compile critical information for strategic initiatives, preparing briefing materials and background data.
- Collaborate with cross-functional teams to achieve project objectives, fostering synergy across departments.
- Serve as a key communication liaison between the Global Director and internal/external stakeholders to enhance engagement and alignment.
- Draft, review, and distribute strategic communications on behalf of the Global Director, ensuring clarity and consistency.
- Facilitate effective communication within the executive office to streamline operations and foster collaboration.
- Organize and coordinate high-impact internal and external events, managing logistics to ensure successful outcomes.
- Handle sensitive and confidential information with discretion, maintaining the professionalism and integrity of the executive office.
- Manage the Global Directors calendar and prioritize scheduling to optimize time and focus on strategic priorities.
- Prepare and organize documents, presentations, and reports that support strategic meetings and discussions.
Project Management:
- Assist in the coordination and management of special projects and initiatives.
- Track project timelines, deliverables, and milestones, providing updates as needed.
- Collaborate with cross-functional teams to ensure project goals are met.
Communication:
- Serve as a point of contact between the Global Director and internal/external stakeholders.
- Draft, review, and distribute communications on behalf of the Global Director.
- Facilitate effective communication within the executive office and across departments.
Research and Analysis:
- Conduct research and compile information for strategic initiatives and decision-making.
- Prepare briefing materials and background information for meetings and Bachelor's/ Masters degree in Business Administration, Sales, Logistics, or a related field.
- 8 to 10 years of experience in sales, preferably within the warehouse or logistics industry.
- Demonstrated experience in freight forwarding in any capacity is essential.
- Strong negotiation skills and the ability to communicate effectively across diverse teams and stakeholders.
- Proven ability to work independently and prioritize tasks effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Willingness to travel as required for business needs.
- Ability to handle multiple projects simultaneously and meet tight deadlines
