  • You're likely to be a key point of contact for both internal and external means, requiring excellent organizational skills, discretion, and the ability to handle confidential information with utmost sincerity, privacy, and care.
  • You should be coordinating for travel arrangements, prepare itineraries, plan logistics, and submit expense reports; Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly; Maintain confidentiality of highly sensitive information; Manage complex office administrative work requiring the use of independent judgment and initiative.

I) Responsibilities:

  1. Drafting Corporate Documents: Prepare and edit a variety of corporate documents such as reports, presentations, and memos following established guidelines and formats ensuring accuracy and adherence to corporate standards.
  2. Communication Management: Manage all forms of communication, including emails and phone calls, on behalf of the Vice Chairman. Ensure prompt responses, prioritize messages, and maintain confidentiality.
  3. Administrative Support: Provide comprehensive administrative support to the Vice Chairman, including scheduling meetings, arranging travel, and coordinating logistics for events and appointments.
  4. Project Assistance: Assist in the planning, execution, and follow-up of projects assigned to the Vice Chairman, ensuring deadlines are met and objectives are achieved.
  5. Information Management: Organize and maintain files, records, and documentation related to the Vice Chairman's activities, ensuring easy access and retrieval of information as needed.
  6. Research and Analysis: Conduct research and gather information on various topics as requested by the Vice Chairman. Summarize findings and provide insights to support decision-making processes.
  7. Liaison and Coordination: Serve as a primary point of contact between the Vice Chairman and internal/external stakeholders. Facilitate communication, coordinate meetings, and foster positive relationships.
  8. Travel Flexibility: Be available to accompany the Vice Chairman on business trips, both domestic and international, as required. Assist with travel arrangements and provide on- the-go support.

J) Qualifications:

  1. Post-Graduate Degree with 5+ years’ experience in the similar position.
  2. Excellent Communication Skills: Exceptional written and verbal communication skills in English, with the ability to interact professionally and effectively with individuals at all levels.
  3. Organizational Skills: Strong organizational and time management abilities, with the capacity to prioritize tasks, handle multiple responsibilities simultaneously, and meet deadlines in a fast-paced environment.
  4. Discretion and Confidentiality: Demonstrated discretion and ability to handle sensitive information with the utmost confidentiality and professionalism.
  5. Adaptability: Flexible and adaptable to changing priorities and requirements, with a proactive approach to problem-solving and a willingness to take on new challenges.
  6. Tech Proficiency: Proficient in Microsoft Office suite and other relevant software applications. Familiarity with digital communication tools and platforms is advantageous.
  7. Knowledge of Cyber Security: Familiarity with cyber security principles and related subjects, enabling proactive support and understanding within the company's main domain.
  8. Professionalism: Maintain a professional demeanor and appearance at all times, representing the Vice Chairman and the company in a positive and polished manner.
  9. Understanding of Corporate Governance: Understanding of corporate rules, structures, and governance practices to navigate internal processes and support decision- making effectively.
  10. Pleasant Personality: Demonstrate a positive and approachable demeanor, contributing to a harmonious and productive work environment.
  11. Bachelor's Degree Preferred: A bachelor's degree in business administration, communications, or a related field is preferred, along with relevant administrative experience.
