Role Overview :

We are seeking a proactive, detail-oriented Assistant Project Manager with a strong engineering background and excellent communication skills to support the planning, execution, and delivery of immersive XR projects. You will work closely with the Chief Project Officer (CPO), internal teams, and clients to ensure projects are completed on time, within scope, and budget-while maintaining high standards of quality, accuracy, and client satisfaction.

Key Responsibilities :

1. Project Planning & Documentation :

- Review and approve project scope, objectives, deliverables, and success metrics.

- Approve engineering storyboards, project plans, and technical reports.

- Collaborate with Team Leads to develop and adjust project timelines.

2. Resource Planning :

- Coordinate with departments to allocate resources effectively.

- Monitor availability and utilization for optimal deployment.

3. Compliance & Monitoring :

- Ensure adherence to internal processes, regulatory standards, and quality frameworks.

- Maintain audit-ready documentation throughout the project lifecycle.

4. Risk & Escalation Management :

- Maintain and update a centralized Risk Register.

- Identify, evaluate, and implement risk mitigation strategies.

- Escalate critical concerns to the CPO and ensure resolution follow-ups.

5. Project Budgeting :

- Support budget formulation with cross-functional teams.

- Track expenditures, flag discrepancies, and recommend corrective actions.

6. Change Management :

- Maintain logs of change requests and assess scope/resource impact.

- Drive approvals and update project documentation accordingly.

7. Vendor Management :

- Coordinate with external vendors to manage timelines and deliverables.

- Monitor SLA compliance and resolve vendor-related issues.

8. Task Coordination :

- Assign tasks with clear responsibilities and deadlines.

- Track progress, maintain accountability, and update the CPO regularly.

9. Communication & Reporting :

- Maintain consistent communication with stakeholders.

- Prepare and deliver project status reports, highlighting key milestones, risks, and issues.

- Facilitate meetings and document discussions/decisions.

10. Quality Assurance :

- Oversee internal reviews and approvals of all deliverables.

- Ensure all outputs meet quality benchmarks and client expectations.

11. Engineering Storyboards & Project Engineer Oversight :

- Develop and review detailed technical storyboards.

- Train and mentor Project Engineers on documentation standards.

- Supervise performance and delivery of engineering tasks.

12. Continuous Improvement & Team Support :

- Promote collaboration and continuous learning.

- Identify and implement process improvements.

- Support the CPO in leadership, motivation, and conflict resolution.

Required Qualifications :

- Bachelors degree in Engineering or related technical field.

- 3-5 years of experience in project coordination or management, preferably in tech or XR.

- Strong organizational, analytical, and multitasking skills.

- Proficiency in Jira, Trello, Asana, or MS Project.

- Knowledge of Agile, Waterfall, or Hybrid methodologies.

- Excellent written and verbal communication skills.

- Ability to work under pressure and manage multiple stakeholders.
