BID COORDINATOR
The Bid Coordinator supports transactional opportunities of limited complexity in response to a high volume of formal tender and proactive bid requests. This role involves working independently and in collaboration with internal teams to produce bid drafts and full submissions, utilising standard templates and content that articulate the value and benefits of Iron Mountain solutions.
Bid Coordinators focus on reviewing support requests, analysing tenders and developing bid responses that align with client requirements and specifications. The role utilises pre-written content and bid templates to quickly create responses, which requires gaining fluency in the use of Iron Mountain's global content management platform and adopting AI technology to support document creation.
The Bid Coordinator reports to the Manager, APAC Bid Management and is an integral part of the Commercial Excellence team. This role will be primarily a home working role but must be based in or near Mumbai as in-office meetings will be required occasionally.
Key Accountabilities:
- Coordinate with sales and other key stakeholders to develop bids in a fast-paced environment.
- Provide timely, professional and customer-centric responses using a variety of tools including a content management system, intranet and cloud-based resources.
- Prepare and compile response documents, ensuring accuracy, readability and completeness.
- Manage multiple, simultaneous deadlines and ensure timely submission of responses.
- Maintain a central repository of bid documents and related materials.
- Perform draft reviews and edit documents for formatting, clarity, compliance and alignment with solution.
- Coordinate meetings with sales lead and other stakeholders to understand requirements, align understanding and clarify timelines.
- Ensure bid documents adhere to corporate brand, customer requirements, formatting and quality standards.
- Contribute new and updating existing content to the proposal library as needed.
Knowledge, Skills and Experience
- University degree in Journalism, Business or similar fields preferred
- Atleast 2-3 years of Bid coordination related experience preferred
- Proficiency in English language is a must and a secondary regional language fluency helpful
- Ability to prioritise and multitask within a fast-paced, challenging and deadline-driven environment
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- Proficiency in MS Office, Google Suite and Adobe Acrobat
- Familiarity with content management systems helpful
