At Visy India, their technology hub in Hyderabad, they are expanding their technical capabilities to support their global business.Overview: Position summary: Project Nexus was established by Visy in 2025 to create a Global Capability Centre (GCC) in India to: Simplify & standardise the way Visy operates Transform the way Visy works Set Visy up for the next stage of growthA dedicated project team has been mobilised in Melbourne, Australia to deliver a smooth and efficient transition to the Visy India GCC. The project team will work closely with key stakeholders across the business including India, to transition processes from local onshore teams to the Visy India GCC throughout FY26 and beyond. The PMO Coordinator will provide critical PMO support for Project Nexus, ensuring effective governance, planning, and reporting across the program. Key responsibilities include designing and maintaining governance frameworks, managing project schedules, and driving accurate reporting and RAID management. The position also supports process controls, continuous improvement, and document management, while coordinating with internal and external stakeholders. Additionally, the role oversees administrative tasks such as travel arrangements and meeting logistics, ensuring smooth collaboration between Visy, PwC, and ANSR teams. Based in the India GCC, the PMO Coordinator will report directly to the Nexus GM Project & Change and work closely with the broader Nexus project team to ensure seamless coordination and delivery.Key responsibilities: What are the primary responsibilities of the role? Governance: Support design and documentation of the Nexus governance model (meeting charters, cadence, decision rights, escalation pathways for Nexus governance forums – such as SteerCo, Chase, Project Team, Business Unit Leads Mtgs etc.). Own and send meeting invites for all governance forums, including aligning calendar availability across Visy & PwC teams, managing date/time changes, and booking meeting rooms. Support in preparing for and running governance forums – collaborating with key Nexus team members to set the agendas, create the packs and sending pre-reads. Maintain a formal action log and decision log for all governance forums and follow up on actions. Own the Nexus governance calendar, ensuring it’s up to date with key meetings and team are aware of critical dates for circulating pre-read. Ensure stakeholder lists are maintained and updated for governance forums.Project Planning: Support creation and maintenance of baseline project plans for change control purposes. Support development of overall project plan, aligning with broader team on key (Level 1) milestones to track & report at a program level. Support the set-up of Nexus in Monday.com including working with the Monday.com representative to ensure the overall project is structured in accordance with Visy’srequirements, arranging licenses for necessary team members and training them on the system as needed. Support project team with managing plans in Monday.com including updates to timelines, risks etc. Support transition managers with setting up each transition in Monday.com, ensuring they are comfortable with the tool. Support the project lead in identifying and managing interdependencies across the program.Reporting: Support creation of visual dashboards in Monday.com for real-time status visibility. Transition the Nexus team from reporting in PowerPoint to reporting in Monday.com. Coordinate with Transition Managers for their weekly updates (initially in ppt, later in Monday.com). Support the development of the weekly project status report (consolidating updates from transition reports and project team meetings) - initially in ppt, later in Monday.com. Support additional ad-hoc reporting requirements.Processes & Controls: Manage the RAID log – ensuring project Risks, Issues, Actions and Decisions are actively documented and tracked. Following up on key actions to ensure timely progress. Support the design and implementation of a risk escalation process to ensure critical transition risks (and issues) are escalated appropriately at Project Team Mtgs and SteerCo. Support the project lead in preparing change requests for scope, timeline, cost, benefit changes – conducting analysis on the impact to the business case. Assurance - Implement checks to ensure deliverables meet agreed standards before project team sign-off on stage gate artefacts.Lessons Learned / Continuous Improvement: Support with organising and running after action reviews / post implementation review at regular points throughout the project. Ensure lessons learned are not just captured but actively feed into future waves / transitions. Oversight / assurance role on transitions from a PMO perspective (ensuring consistency & quality and offering project management expertise & support where required).Document Management, Tools & Templates: Manage the MS Teams Site, including provisioning of access as the project team expands and periodic reviews of permissions for security and confidentiality. Ensure the team has fully transitioned across from Nexus Design Teams Site and that files are being stored in the appropriate folders. Develop and manage key project templates. Maintain document standards and naming convention integrity.Visy India / ANSR: Support Project Lead in managing ANSR relationships and open items in the ANSR action log. Support Project Lead in validation of invoices from ANSR and approving invoices in SAP. Support ANSR governance meetings (diary alignment, capturing actions & decisions).Admin / Travel Management: Organizer visitor passes to FWP (or other Visy sites) for PwC team as required for F2F meetings. Organise visitor passes to Visy Offices for Visy India Team travelling for KT. Organise visitor passes to Visy GCC for onshore Visy employees travelling to India for KT. Organise meeting rooms for project team workshops and KT sessions. Manage the Nexus travel tracker and support travel preparations such as visas, flight bookings, hotel bookings, claiming expenses, as required. Own the Visy India Travel Guide, making updates as required and organise onboarding sessions for onshore Visy employees travelling to GCC.Key requirements: Experience and qualifications: Mandatory (critical for the role) Min 3 years’ experience Project Management qualification Experience supporting projects or programs in a PMO or similar environment Good project planning skills Strong organisational skills with a focus on accuracy and follow-through Good written and verbal communication skills Competent in the development of project governance packs in PowerPoint Desirable (preferable for the role) 5years+ experience desirable Previous experience working in a PMO for a significant business transformation program or GCC / BSC transformation Proficient in Monday.comSkills (technical, business, leadership): Solid understanding of project management and how a PMO operates Familiar with Monday.com or similar PPM tools Proficient with MS Office (Excel, PowerPoint, Teams) Self-starter, comfortable working autonomously, with the ability to identify what needs to be done and take proactive action to deliver outcomes. Confident working with a mix of stakeholders, building good relationships, keeping communication clear and knowing when to escalate or seek guidance.
