Job Summary:

The Faculty Coordinator provides comprehensive support to faculty members in the areas of academic administration, course coordination, event planning, and faculty-related projects. The role involves managing day-to-day faculty operations, assisting with course preparation, handling communications, and ensuring compliance with academic policies and procedures. This position requires strong organizational skills, excellent communication, and the ability to multitask effectively in a dynamic academic environment.


Key Responsibilities:

  1. Faculty Support:
  • Assist faculty members with administrative tasks such as scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Support faculty in preparing course materials, managing classroom technologies, and coordinating exams.
  • Serve as a point of contact for faculty inquiries and requests related to institutional policies, procedures, and services.
  1. Course Coordination:
  • Assist in the preparation of course syllabi, lesson plans, and other teaching materials.
  • Ensure timely submission of course outlines, grades, and other required documentation.
  • Coordinate classroom logistics, including technology setup, student accommodations, and material distribution.
  • Facilitate the use of Learning Management Systems (LMS) for assignments, grading, and communication with students.
  1. Event Planning & Coordination:
  • Organize faculty meetings, departmental events, workshops, and conferences.
  • Coordinate logistics for special events such as guest lectures, symposiums, and student-faculty events.
  • Assist in managing budgets and financial records related to events and faculty projects.
  1. Communication & Liaison:
  • Act as a liaison between faculty, students, and administrative departments.
  • Manage and respond to faculty-related communications, ensuring prompt and clear dissemination of information.
  • Maintain regular communication with faculty regarding institutional updates, policy changes, and upcoming deadlines.
  1. Data Management & Reporting:
  • Maintain accurate records of faculty-related information, including research projects, teaching assignments, and administrative activities.
  • Compile data and generate reports as needed for faculty evaluations, accreditation, or departmental reviews.
  • Ensure confidentiality and security of faculty records and sensitive information.
  1. Compliance & Policy Adherence:
  • Ensure faculty members adhere to institutional policies and academic regulations.
  • Stay updated on academic and administrative policies, ensuring faculty are informed of any changes.
  • Coordinate faculty training sessions related to compliance, technology, and new academic policies.
  1. Special Projects:
  • Assist with faculty recruitment, onboarding, and orientation processes.
  • Support faculty in research initiatives, grant applications, and other academic projects.
  • Contribute to the development of faculty-related initiatives to improve departmental efficiency and effectiveness.

Required Skills and Qualifications:

  • Education: Bachelor's degree in education, business administration, or a related field. A Master’s degree is preferred.
  • Experience: Prior experience in academic administration or a similar role.
  • Technical Skills: Proficiency in Microsoft Office, Learning Management Systems (e.g., Canvas, Blackboard), and academic software.
  • Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with faculty, staff, and students.
  • Organizational Skills: Excellent organizational and multitasking abilities, with strong attention to detail.
  • Problem-Solving: Ability to handle issues with tact and diplomacy, and to offer creative solutions when challenges arise.
  • Teamwork: A collaborative mindset with the ability to work effectively in a team and across departments.

Preferred Qualifications:

  • Experience working in higher education.
  • Familiarity with academic policies and faculty governance.
  • Knowledge of event planning and project management principles.

Working Conditions:

  • Full-time, office-based position within an academic department or school.
  • Occasional evening or weekend work may be required for events or urgent faculty support.
