**Role Definition:**

The Office Administrator will be responsible for managing the day-to-day administrative tasks of the office, including reception duties, ensuring a productive and efficient work environment. This role includes handling office operations, supporting staff, and providing administrative assistance to various departments. The ideal candidate will be a proactive problem-solver with excellent organizational and communication skills.


### Key Responsibilities:


**Reception Duties:**

- Greet visitors and clients in a professional and friendly manner.

- Manage the reception area, ensuring it is clean and welcoming.

- Answer and direct incoming calls, emails, and other correspondence.

- Handle inquiries and provide information to visitors and callers.


**Office Management:**

- Oversee and manage all aspects of office operations, including maintaining office supplies, equipment, and facilities.

- Ensure the office is clean, organized, and well-maintained.

- Coordinate office layout planning and office moves.


**Administrative Support:**

- Provide administrative support to the Business Partner and other departments as needed.

- Schedule and coordinate meetings, appointments, and travel arrangements.


**Documentation and Record-Keeping:**

- Maintain accurate and up-to-date records, files, and documents.

- Assist with the preparation and distribution of reports, presentations, and other documents.

- Manage and organize both electronic and physical files and records.


**Vendor and Supplier Management:**

- Manage relationships with office vendors and suppliers, including ordering and replenishing office supplies.

- Negotiate contracts and ensure timely delivery of office supplies and services.


**Employee Support:**

- Assist with onboarding new employees, including preparing workstations, distributing welcome materials, and conducting office tours.

- Address employee inquiries and provide support with office-related matters.

- Organize and coordinate company events, meetings, and activities.


**Financial Administration:**

- Assist with basic financial tasks, such as processing invoices, expense reports, and petty cash management.

- Coordinate with the finance department to ensure accurate record-keeping and reporting.


**Compliance and Policy Management:**

- Ensure office operations comply with company policies and procedures.

- Assist with the development and implementation of office policies and procedures.

- Excellent organizational and time management skills.

- Strong verbal and written communication abilities.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

- Ability to multitask and prioritize tasks effectively.

### Educational and Experience Requirements:

- Bachelor’s degree in Business Administration, Office Management, or a related field preferred.

- At least 1-2 years of experience in an administrative or office management role.

- Strong interpersonal skills and the ability to interact effectively with all levels of the organization.
