We are seeking a dedicated and organized male/female Office Manager, preferably residing in Gurugram, to oversee tendering, marketing support, back office sales, email drafting, quotations, and basic administrative tasks. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple responsibilities in a dynamic office environment.
### **Key Responsibilities**:
1. **Tendering**:
- Manage the complete tendering process, including identifying relevant opportunities, preparing documents, and submitting tenders.
- Ensure compliance with tender requirements and maintain a record of all submissions and outcomes.
- Coordinate with internal teams to gather necessary information and meet deadlines.
2. **Marketing Support**:
- Assist in developing marketing strategies and creating promotional materials, such as brochures, newsletters, and social media content.
- Organize marketing events, exhibitions, and client meetings to promote company services.
- Monitor market trends and competitor activities to provide insights for marketing initiatives.
3. **Back Office Sales**:
- Support the sales team by preparing quotations, managing order processing, and maintaining accurate sales records.
- Respond to customer inquiries, provide product information, and resolve issues promptly.
- Maintain a database of clients and ensure timely follow-ups on sales leads.
4. **Email Drafting & Quotation**:
- Draft professional and effective emails for communication with clients, vendors, and partners.
- Prepare and send detailed quotations based on client specifications and ensure accuracy in pricing and terms.
- Maintain a high standard of communication that reflects the company’s image.
5. **Administrative Tasks**:
- Manage day-to-day office operations, including scheduling meetings, maintaining office supplies, and ensuring a well-organized workspace.
- Handle administrative tasks such as filing, data entry, and record keeping.
- Assist with HR activities, such as onboarding new employees and managing attendance records.
### **Qualifications**:
- Bachelor’s degree in Business Administration, Marketing, or a related field.
- Minimum of 3 years of experience in office management, tendering, or related roles.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM software.
- Excellent communication skills, both written and verbal, with a keen eye for detail.
- Strong organisational skills with the ability to multitask and prioritise effectively.
- Proactive and self-motivated, with the ability to work independently and as part of a team.
- Preferably residing in Gurugram for easy commuting and local knowledge.
### **Skills**:
- Expertise in managing tender processes and preparing accurate quotations.
- Knowledge of marketing strategies and support activities.
- Strong email drafting and documentation skills.
- Ability to manage multiple tasks and work efficiently under pressure.
- Customer-oriented approach with excellent interpersonal skills.
### **Working Conditions**:
- Full-time position, based in Gurugram.
- Primarily office-based with standard working hours, Monday to Saturday.
