Job Description: Facility Manager – Students Hostel

Location: Pune Institute of Business Management (PIBM), Pune

CTC - up to 5 LPA

Position Overview:

The Facility Manager for the Students Hostel at Pune Institute of Business Management (PIBM) is responsible for overseeing the overall functioning of the hostel facilities, ensuring the safety, comfort, and well-being of students. This role includes managing hostel housekeeping, security, cafeteria, and ensuring that students’ concerns and issues are addressed promptly. The Facility Manager will also supervise hostel wardens, review daily reports, and work towards providing the best facilities and environment to the students.

Key Responsibilities:

  1. Hostel Operations Management:
  • Oversee day-to-day operations of the hostel, ensuring cleanliness, safety, and comfort for students.
  • Manage the coordination between various departments to maintain smooth functioning (housekeeping, security, cafeteria, etc.).
  • Supervise and train hostel wardens to ensure effective management of hostel floors, rooms, and student behavior.
  • Ensure regular maintenance of hostel infrastructure including rooms, common areas, restrooms, and utilities.
  1. Security & Safety:
  • Ensure all security protocols are followed to guarantee the safety of students and hostel premises.
  • Coordinate with security personnel for round-the-clock surveillance and address any security issues immediately.
  • Monitor safety measures, including fire safety equipment and emergency exits.
  1. Housekeeping Management:
  • Supervise housekeeping staff and ensure cleanliness standards are maintained across all hostel areas.
  • Implement regular checks to assess the quality of housekeeping services, ensuring that rooms, bathrooms, and common areas are sanitized and well-maintained.
  1. Cafeteria Operations:
  • Oversee the functioning of the hostel cafeteria, ensuring food quality, hygiene, and adherence to student dietary preferences.
  • Work closely with the cafeteria vendor to ensure timely food delivery, menu variety, and maintaining cleanliness.
  1. Student Welfare & Issue Resolution:
  • Act as the primary point of contact for students' complaints and concerns regarding hostel facilities.
  • Provide timely solutions to issues related to living conditions, food, security, or any other hostel-related matters.
  • Foster a comfortable and student-friendly environment, encouraging open communication between students and management.
  1. Coordination & Reporting:
  • Supervise hostel wardens and ensure they are reporting daily activities and issues promptly.
  • Maintain daily reports of hostel operations, security updates, and student-related concerns.
  • Prepare weekly/monthly reports on hostel performance and address areas of improvement.
  1. Budget Management:
  • Ensure efficient use of resources within the hostel while maintaining quality standards.
  • Oversee budget allocation for hostel maintenance, housekeeping, security, and cafeteria operations.
  1. Compliance & Policy Enforcement:
  • Ensure that hostel policies, safety guidelines, and standard operating procedures are being followed strictly.
  • Ensure that hostel operations comply with the regulatory standards and institute policies.
  1. Vendor & Supplier Management:
  • Manage relationships with vendors and suppliers for hostel services (cleaning supplies, food services, security, etc.).
  • Evaluate vendor performance and resolve any service-related issues.

Qualifications & Experience:

  • Educational Qualifications: Bachelor’s degree in Hotel Management, Facility Management, Business Administration, or any relevant field.
  • Experience: Minimum of 5 years of experience in facility management, hostel management, or operations management, preferably in an educational institution or hospitality sector.
  • Skills:

  • Strong organizational and time-management skills.
  • Knowledge of safety regulations and hospitality standards.
