Timetabling Officer
Reporting to the Head of Academic Operations, you will be responsible for day-to-day operational management and coordination of institutional timetabling for teaching and exams. You will ensure that the student-centred timetable is accurate and delivered on time. You will work closely with staff responsible for maintaining the accuracy of taught programmes. Additionally, you will work with other teams within the College to ensure that a quality service is provided. The post holder will support other staff within Academic Services to enable both knowledge and relationships to be developed; will be expected to work closely with the team to ensure consistency; develop knowledge and expertise in timetabling processes. The role requires excellent organisational, planning, and problem-solving skills, plus good speaking and listening skills. An ability to interpret data correctly is essential. You will be communicating with staff in a variety of roles across the University. Experience of any timetabling system is essential.
- Construct, maintain and publish the University’s teaching timetable using specialist timetabling software.
- Ensure that classes delivered on campuses are taught in appropriate spaces and that utilisation of teaching space is optimised.
- Work closely with the Head of Academic Operations on the requirements for module delivery schedules
- Ensure that all timetable changes are communicated and all room booking requests are accurately recorded where required
- Ensure the compatibility and integration of data in the specialist timetabling software with other University systems and tools (such as Ms Excel)
- Work with other staff on space utilisation issues (e.g. scheduling of examinations and induction/registration events)
- Undertake rigorous data integrity checks on data held within the timetable system in order to ensure that it is accurate.
- Maintain appropriate documentation of processes and procedures in the form of guidance and handbooks.
- Undertake any other duties determined by your line manager
Person Specification:
- Education: Bachelor's degree in a relevant field or equivalent experience.
- Experience: Proven experience in timetabling, scheduling, or a related administrative role within an educational setting.
- Required Skills:
- Excellent organisational and time management skills.
- Strong analytical and problem-solving abilities.
- Proficient in the use of timetabling software (e.g., CELCAT) and Microsoft Office Suite.
- Effective communication and interpersonal skills.
- Ability to work collaboratively with a diverse range of stakeholders.
- Preferred Skills:
- Education: Advanced degree or professional certification in a relevant field.
- Experience: Experience using CELCAT or similar timetabling software
