Human Resources Executive

Job Title: Executive Assistant (HR experience will be preferred).
Experience: 2 to 3 years.
Location: Gandhinagar.
Position Overview:
We are seeking a highly organized and proactive individual to serve as a Personal Assistant to our Director. The ideal candidate will be responsible for providing comprehensive administrative and executive support to ensure the smooth operation of the Director's office and enhance their productivity.
Key Responsibilities:
1.Manage the Director's calendar, including scheduling appointments, meetings, and travel arrangements.
2.Coordinate and prioritize incoming communication, including emails, phone calls, and letters, ensuring timely responses and follow-up as needed.
3.Prepare correspondence, reports, presentations, and other documents on behalf of the Director.
4.Conduct research and compile information for various projects and initiatives as assigned by the Director.
5.Attend meetings with the Director, take minutes, and follow up on action items as necessary.
6.Coordinate logistics for meetings, conferences, and special events, including venue bookings, catering, and guest arrangements.
7.Handle confidential and sensitive information with discretion and professionalism.
8.Manage the Director's expenses, including tracking receipts, preparing expense reports, and reconciling credit card statements.
9.Act as a liaison between the Director and internal/external stakeholders, including staff, clients, vendors, and partners.
10.Anticipate the Director's needs and proactively address potential issues to ensure their effectiveness and efficiency.
11.Assist with personal tasks and errands as requested by the Director.
12.Collaborate with other members of the administrative team to support departmental goals and initiatives.
Qualifications:
∙Bachelor's degree in business administration, mass communication, management, or related field preferred.
∙Proven experience as an executive assistant, personal assistant, or similar role, preferably supporting senior-level executives.
∙Exceptional organizational skills and attention to detail.
∙Strong written and verbal communication skills.
∙Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
∙Ability to prioritize tasks and manage time effectively in a fast-paced environment.
∙Discretion and confidentiality in handling sensitive information.
∙Flexibility to adapt to changing priorities and deadlines.
∙Professional demeanor and interpersonal skills.
Preferred Qualifications:
∙Experience in a similar role
∙Familiarity with project management tools and software.
∙Knowledge of basic accounting principles for expense management.
∙Previous experience coordinating travel arrangements for executives.
∙Ability to multitask and remain composed under pressure.
