Program Manager for Educational Travel Learning Company
Authentica is a leading provider of experiential travel learning programs across Asia with the primary goal of inspiring youth to make an impact through an enriching & transformative journey. Intro:
You will report directly to the Head of Operations . You will be responsible for end-to-end management of experiential learning programs including, but not limited to, pre-sales (proposal stage), planning, and delivery of programs. Please watch our program videos to get a sense of the nature of our experiential learning programs.
Responsibilities
- Itinerary Creation: Develop customised itineraries that cater to the specific requirements of each client group, incorporating unique cultural, educational, and adventure-based experiences.
- Proposal Drafting: Prepare comprehensive proposals that outline the program details, logistics, and pricing, ensuring clear communication of the value proposition to clients.
- Hotel Contracting: Negotiate and secure accommodations that meet the needs of the groups, ensuring the best possible rates and amenities.
- Vendor and Guide Selection: Vet and select the most qualified local vendors, guides, and service providers to deliver high-quality experiences during the trips.
- Communication Management: Maintain exceptional communication with clients, both inbound and outbound, to address inquiries, provide updates, and ensure a seamless experience.
- Stakeholder Management: Collaborate effectively with internal teams, external partners, and local service providers to coordinate all aspects of the experiential learning trips.
- Contingency Planning: Demonstrate a willingness to learn about and address the various contingencies that may arise during travel, ensuring the safety and well-being of the participants.
- Documentation and Reporting: Maintain detailed documentation of all trip-related activities, including budgets, participant feedback, and post-trip evaluations, to drive continuous improvement.
- Flexibility and Adaptability: Exhibit a high degree of flexibility and adaptability to accommodate changes in itineraries, group dynamics, or unexpected situations during the trips.
Skills and Requirements
- Bachelor's degree in any discipline, with 1-3 years of relevant experience in the travel industry or experiential learning programs.
- Proven track record in creating and executing customized itineraries, managing vendor relationships, and delivering exceptional customer experiences.
- Strong interpersonal and communication skills, with the ability to effectively liaise with clients, internal teams, and local service providers.
- Proficient in project management, budgeting, and documentation, with a keen eye for detail.
- Willingness to travel for extended periods, from 1 day to up to 3 weeks, both within and outside of India.
- Fluency in English, with additional language skills preferred.
- Experience working with university partnerships will be an added advantage.
Compensation and Benefits:
Salary : Salary: 4.8 lacs to 7.2 lacs per annum , depending on experience

Working Environment
Frequent travel required, ranging from one day up to 3 weeks; office working environment when not traveling (from our Pune office); 45 hrs a week (sometimes more when groups are on the ground, including work over weekends / during holidays if needed)
