Position Overview:

The Front Office Executive serves as the first point of contact for visitors, clients, and employees. This role plays a crucial part in creating a positive and welcoming environment for all individuals entering the premises.

The Front Office Executive is responsible for managing the reception area, handling inquiries, and performing various administrative tasks to support the smooth operation of the office.


Key Responsibilities:

  • Greet and welcome visitors, clients, and employees in a courteous and professional manner.
  • Answer incoming calls, screen and direct them to the appropriate personnel.
  • Maintain a clean and organized reception area, ensuring it reflects a professional image.
  • Manage visitor signin and security procedures, including issuing visitor badges when necessary.
  • Assist with administrative tasks such as data entry, filing, scanning, and photocopying.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Schedule appointments and meetings, and manage conference room bookings.
  • Coordinate travel arrangements for employees as needed.
  • Provide excellent customer service by addressing inquiries and resolving issues promptly and professionally.
  • Serve as a point of contact for client inquiries, directing them to the appropriate departments or personnel.
  • Handle complaints or concerns with empathy and escalate them to the appropriate channels when necessary.
  • Liaise with internal departments to relay messages, requests, or announcements as needed.
  • Assist with coordinating office events, meetings, and other activities as required.
  • Monitor and maintain office supplies inventory, and place orders when necessary.
  • Ensure office equipment, such as printers, copiers, and telecommunication systems, are in good working condition.
  • Assist with facilities management tasks, such as coordinating repairs and maintenance services.
