Strategic Sourcing and Vendor Relations Director

Duties and responsibilities

  • Developing and implementing a procurement strategy aligned with the Client and JLL goals and objectives
  • Evaluating market trends, supply chain risks, and identifying cost-saving opportunities. Collaborate with JLL Sourcing and Procurement (S&P)
  • Collaborating with country teams to understand their procurement requirements and align procurement strategies accordingly
  • Developing and executing Account Procurement Plan, including Country RFP, RFQs on a timely basis to achieve savings target and as a contingent to contract management to ensure contract renewals are done on time
  • Supporting country in Ad hoc sourcing activities, leading the Sourcing activity as required
  • Compliance with the JLL and Google MSA Procurement Exhibits

Supplier Management

  • Building and maintaining relationships with key suppliers, negotiating contracts, and supporting the Vendor Management Program in managing vendor performance
  • Creating policies, procedures, and standards to govern / assess vendor performance, achieve statutory and regulatory compliance and JLL and Account compliance
  • Leading Supplier Performance Management process to drive performance and maintain pipeline of value delivery. Together with the Country Lead, ensuring that a Performance Improvement Plan is in place and tracked
  • Conducting supplier evaluations, audits, and assessments to ensure compliance with quality, delivery, and cost targets
  • Identifying potential new suppliers, conducting due diligence, and managing supplier onboarding processes
  • Increasing diverse vendor spend and count in all countries. Collaborating with JLL S&P in countries to create a strategy on countries where diverse vendors are scarce
  • Supporting initiatives and efforts to manage supplier relationships including administrative and operational activities and issues
  • Interacting with vendors to understand their capabilities and competency and help them align to JLL expectations. Developing them towards becoming preferred partners/Strategic Alliance Partners
  • Increasing sustainable vendor base across APAC and major countries/cities
  • Resolving vendor performance issues

Procurement Process Optimization

  • Developing and maintaining procurement policies, procedures, and guidelines to ensure compliance with legal and regulatory requirements. Continuously reviewing and updating Procurement Playbook
  • Implementing best practices to streamline procurement processes, reduce cycle times, and drive efficiency
  • Implementing digital procurement tools and technologies to automate processes, improve data analytics, and enhance decision-making
  • Recommending continuous quality improvement practices and implementing industry best practices, leveraging data to drive best practice across the account

Cost Management

  • Identifying cost-saving opportunities through negotiations, strategic sourcing, and supplier optimization
  • Conducting market analysis and benchmarking studies to ensure competitive pricing and value for money
  • Monitoring and analyzing procurement spend, implementing cost control measures, and providing regular reports as agreed with stakeholders
  • Delivering Sourcing target as per MSA KPI

Risk Management and Compliance

  • Responsible for implementing and monitoring compliance programs and frameworks
  • Providing a risk identification program and mitigation of supplier risk on multiple levels
  • Reviewing vendor contracts to ensure compliance with legal and regulatory requirements. Collaborating with legal and procurement teams in ensuring that the account is using approved vendor contracts / templates. Liaising with the legal team to address any contractual issues or disputes
  • Keeping abreast of legislative changes ensuring that vendors are compliant
  • Managing the Ethics reporting program
  • Coordinating with JLL Risk Manager on Vendor Insurance requirement and Compliance
  • Ensuring Vendor compliance on Contract, COI, and PO. Timely loaded in Jaggaer system
  • Ensuring that vendors are compliant with industry standards, statutory regulations, internal policies, and contractual terms, conditions, and obligations. This involves conducting audits, risk assessments, and due diligence checks to assess vendor compliance
  • Conducting timely assessments of supplier contracts and change orders to identify areas of potential non-compliance, adverse supplier performance, and other issues that could have an adverse impact on the company to effectively communicate, track, and abate Supplier risk elements
  • Creating governance for Contract approvals, Savings reporting, documentation, and compliance

Other Responsibilities

  • Ensuring data accuracy of VMP CodeX
  • Facilitating VMP Technical trainings
  • Developing metrics and analyzing improvement opportunities to manage vendor performance and compliance to ensure that JLL achieves its compliance goals
  • Updating VMP Playbook
  • Leading the Vendor Partner TownHall and Vendor Rewards and Recognition Program
  • Performing other duties assigned as VMP evolves/aligns with Google objectives

Team Leadership and Development

  • Providing guidance, training, and development opportunities to enhance team members' skills and expertise
  • Collaborating with relevant stakeholders to align procurement objectives with overall account goals
  • Acting as a leadership role model for the account team by behaving consistently and ethically in accordance with JLL and Google Code of Ethics
  • Developing relationships with clients to become trusted business partners
  • Proactively promoting and complying with Google and JLL's workplace safety policies, procedures, safety guidelines, and local legislative OH&S and ISO requirements

  • At least 10 years' relevant experience in facilities, property management, customer service industry, or related field
  • Bachelor's or Master's degree in Business Administration, Supply Chain Management, or a related field
  • Knowledge of APAC occupational health and safety requirements
  • Proven experience in procurement or strategic sourcing, in a leadership role
  • Strong negotiation skills with the ability to develop and maintain relationships with suppliers
