Job Description - Admin - Receptionist / Front Office (Female Preferred)

Job Overview -Requirements**:

Key Responsibilities:

Welcome and Direct Visitors:
Greet guests and clients in a courteous and professional manner. Direct them to the appropriate meeting rooms or personnel with precision.

Answer and Route Calls:
Manage incoming calls through a multi-line telephone system, directing calls to the appropriate departments or individuals. Take accurate messages when necessary.

Schedule and Coordinate Meetings:

Assist in scheduling appointments and meetings, coordinating conference room bookings, and ensuring meeting spaces are prepared with necessary materials.


Maintain a Tidy Workplace Area:
Uphold a clean and organized reception area and workplace, ensuring a professional and welcoming atmosphere. Monitor and replenish reading materials as needed.

Handle Mail and Packages:
Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and packages for shipment, adhering to corporate mail procedures.

Administrative Support:

Provide administrative assistance as required, including data entry, filing, and other tasks to support the smooth functioning of the corporate office.


Stakeholder Service Excellence:
Respond to inquiries and requests from guests, and employees with a high level of professionalism. Demonstrate a commitment to delivering excellent customer service.

Qualifications:

High school diploma or equivalent; additional education or certification is a plus.

Previous experience in a corporate front desk or receptionist role is highly desirable.

Proficient in Microsoft Excel & Outlook and familiarity with office equipment.

Exceptional communication and interpersonal skills.

Impeccable grooming and professional appearance.

Additional Requirements:

Punctuality and reliability are paramount.

Ability to maintain composure and professionalism in fast-paced corporate environments.

Understanding of corporate etiquette and discretion in handling sensitive information.

Working Conditions:
This position operates within the corporate office environment during standard business hours.

Flexibility for occasional overtime or special events may be required.
