Domestic Vendor Payment Activity:

  • Vendor payments release (AP process) as per due dates in the system.
  • Seeking approvals for few of the payments from concerns team head.
  • Ensured to process the said activity with zero error.
  • Some payments are released manually. Handwritten Cheque / RTGS Letters are submitted to the management for signature.
  • Once the signed Cheque received, handed over the same to the respective department.
  • In case of RTGS letter, ensure to submit the same to the Bank and share the UTR details with respective department.

Internal Fund Management:

  • Daily checks on Internal Bank Balances and reported the same to HOD.
  • On receipt of advice from the HODs, ensure the internal fund transferring in respective bank accounts.

Sharing of Bank Statements:

  • Bank statements are shared on daily basis to various departments like, Marketing, Finance, Factory
  • Accounts and Finance etc., so that they can get the information for the payment receipts.
  • Back dated statements are shared on request by downloading the same through Bank Portals/by requesting to the bank for physical copy.

Letter drafting to Bank:

  • Demand Draft request for releasing the material against the purchase order.
  • Request for Cheque Books in lots.
  • Back dated Bank statement.
  • Fund Transfer/RTGS/NEFT.
  • RTGS/NEFT Recall letter.
  • Authority Letter for collection Bank documents.
  • Bank attestation on Letters to be submitted to the Authority.

Check on Vendor Ledger balances and Internal Co-ordination:

  • Help provided to the Purchase department for the request received from their vendor regarding ledger balances.
  • Ledger copy which received from the vendor are checked and tallied with our SAP entries.
  • Updates are provided to the purchase department for any discrepancy and mismatch of invoices.
  • After confirmation, payments are released accordingly.

Monthly Activity:

  • Get BRC details from ICEGATE website and reconcile and update the same in SAP against the shipping bills.
  • Ensure Monthly Bank Reconciliation for CITI Bank.
In case of query, ensure to sort out the same with concerned department:
Good in excel and data handling capacity.

  • Ensure the monthly bank reconciliation and the related query sorted out in timeline.

Internal group Error Rectification Activity:

  • Help to resolve the errors faced by internal departments and Factory Accounts/Finance in Auto mass payment.
  • Reversal of Cheque.
  • Reversal of SAP entries requested by various departments.

Employee Reimbursement:

  • Reimbursement of Employees Gratuity and claimed amount against expense statement."
