We are looking for a skilled professional to join us as Executive Assistant and Office Administrator. You'll be supporting our Managing Director and CEO, handling various administrative tasks and ensuring the smooth operation of the executive office.
Position: Executive Administrative Assistant
Reporting To: Managing Director and CEO
Experience Required: 5-10 years
Location: Churchgate, Mumbai
Working Hours: 12:00pm - 9:00pm (Mon-Fri)

Our goal is to simplify the furniture rental process and provide exceptional customer service. Inhabitr has a wide selection of furniture pieces and offers design services to help customers personalize their spaces. Our main locations are in Silicon Valley and Mumbai.
Main Responsibilities:
- Manage calendars, appointments, and schedules of the CEO and Managing Director.
- Coordinate meetings and events attendance.
- Organize meetings, take notes, and maintain records.
- Supervise administrative department operations.
- Delegate tasks and prioritize projects.
- Ensure compliance with company policies.
- Handle data governance discussions.
- Prepare reports and develop dashboards.
- Complete office administrative duties assigned by Team Lead.
- Perform other tasks as delegated by the Team Lead.
Document Management:
- Manage office documents and records.
- Coordinate audits when necessary.
Contract and License Management:
- Help with the renewal and management of agreements.
- Ensure timely renewals with different departments.
Vendor Management:
- Build and maintain vendor relationships.
- Negotiate terms and oversee supply orders.
Financial Oversight:
- Monitor office expenses and maintain budget information.
- Coordinate payments with accounting.
Record and File Management:
- Organize hard copy files and coordinate destruction per policies.
- Work with records management.
Travel and Event Coordination:
- Plan and manage executive travel arrangements.
- Coordinate office events.
Client and Vendor Relations:
- Develop and maintain relationships with clients, vendors, and agencies.
- Coordinate communication for stakeholders.
Qualifications & Skills:
- Bachelor's degree or equivalent experience required.
- Secretarial & Administrative certification is advantageous.
- Prior administrative experience is necessary.
- Excellent written and verbal communication.
- Ability to thrive in a fast-paced environment.
- Proficient in MS Office and Google Suite.
- Strong negotiation and vendor management abilities.
