Overview:
The Office Administrator plays a pivotal role in ensuring the smooth and efficient operation of the office environment. This position involves managing administrative tasks, providing support to employees, coordinating office activities, and overseeing facilities and resources.

The Office Administrator is responsible for maintaining a productive and organized workspace that fosters collaboration and contributes to the overall success of the organization.


Responsibilities:

  • Administrative Support:
  • Coordinate meetings, appointments, and travel arrangements for staff members.
  • Prepare and distribute documents, reports, and presentations as needed.
  • Office Operations:
  • Maintain office supplies inventory by checking stock, anticipating needs, placing and expediting orders, and verifying receipt of supplies.
  • Ensure office equipment is properly maintained and serviced, including printers, copiers, and fax machines.
  • Oversee mail distribution and courier services, including sorting incoming mail and arranging outgoing shipments.
  • Facilities Management:
  • Monitor and manage office facilities, including cleanliness, safety, and security.
  • Liaise with building management and external vendors for maintenance, repairs, and facility upgrades.
  • Coordinate office layouts, seating arrangements, and workspace allocation.
  • Reception and Front Desk:
  • Greet visitors and direct them to the appropriate person or department.
  • Manage the reception area, including receiving and directing incoming calls and inquiries.
  • Ensure a professional and welcoming atmosphere for visitors and employees.
  • Record Keeping and Documentation:
  • Maintain accurate and uptodate records, files, and databases.
  • Assist in the preparation of reports, presentations, and other documentation as required.
  • Manage confidential information with discretion and integrity.
  • Event Coordination:
  • Assist in planning and organizing company events, meetings, and social gatherings.
  • Coordinate logistics such as venue selection, catering, audiovisual equipment, and guest accommodations.
  • Employee Support:
  • Provide support to employees on administrative matters, including HRrelated inquiries, benefits enrollment, and policy interpretation.
  • Serve as a point of contact for employee concerns and escalate issues as needed.

Requirements:

  • High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
  • Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
  • Ability to work independently with mínimal supervision and as part of a team.
  • Customer serviceoriented attitude with a focus on meeting the needs of internal and external stakeholders.
  • Knowledge of office management procedures and best practices.
  • Flexibility to adapt to changing priorities and deadlines in a fastpaced environment.
  • Discretion and confidentiality when handling sensitive information.
  • Experience with office equipment and facilities management is desirable.

Salary:
₹8, ₹12,000.00 per month
