Job Summary:
We are seeking a dynamic and organized Office Coordinator to support our sales and service operations. The ideal candidate will be responsible for overseeing daily office activities, coordinating with internal teams and external customers, and ensuring smooth communication across departments. A strong command of Microsoft Office and excellent communication skills are essential for this role.
Key Responsibilities:
- Sales & Service Coordination:
- Manage and support sales and service operations on a daily basis.
- Follow up with sales and service teams for updates and ensure task completion.
- Maintain sales and service documentation and reports.
- Ensure timely response to client inquiries and service requests.
- Daily Task Management:
- Assign daily tasks to relevant team members and ensure accountability.
- Monitor progress of tasks throughout the day.
- Collect end-of-day reports and consolidate them for management review.
- Vendor & OEM Coordination:
- Liaise with vendors, OEMs, and suppliers for procurement and service requirements.
- Maintain vendor contact database and ensure timely communication.
- Follow up on deliveries, service support, and payment schedules.
- Customer Communication:
- Respond to customer queries via phone, email.
- Coordinate with sales and technical teams to address customer concerns.
- Maintain good relationship with all customers.
- Documentation & Reporting:
- Prepare and maintain reports, presentations, and correspondence as required.
- Use Microsoft Excel for data management and reporting.
- Create and maintain presentations in PowerPoint and documents in Word.
Skills & Qualifications:
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong verbal and written communication skills in English.
- Ability to multitask and prioritize in a fast-paced environment.
- Excellent organizational and time management skills.
- Strong interpersonal skills; ability to interact with internal teams, vendors, and clients.
- Self-motivated with a proactive approach to problem-solving.
- Experience in handling coordination roles in sales and service operations is preferred.
- Basic understanding of CRM tools or ERP software is a plus.
Educational Qualifications:
- Bachelor's degree in Business Administration, Commerce, or a related field.
Working Days & Hours:
- Monday to Saturday
- 9:30 AM to 5:30 PM (or as per company policy)
Salary:
- Commensurate with experience and industry standards
