Job Description Summary:
We are seeking a dedicated and professional Front Office Executive cum Admin to join our team in Mumbai. This role is ideal for someone who thrives in a fast-paced environment, with excellent communication skills and an ability to manage front office operations, administrative duties, and foster a welcoming environment for visitors and employees alike. Key Responsibilities:
Front Office Duties:
- Greet visitors, employees, and clients in a professional and friendly manner.
- Manage the front desk area, ensuring it remains tidy, welcoming, and organized.
- Answer, screen, and direct calls to appropriate personnel.
- Handle mail and packages, ensuring timely distribution to relevant departments.
- Schedule meetings, appointments, and manage calendars for office executives as needed.
- Maintain a professional, courteous, and efficient phone manner at all times.
Administrative Support:
- Assist with day-to-day administrative tasks, including filing, documentation, and record keeping.
- Prepare and process internal and external communications (emails, letters, reports, etc.).
- Assist with organizing company events, meetings, and travel arrangements.
- Support the HR and accounts departments with employee records, documentation, and other clerical duties.
- Maintain office supplies inventory, placing orders for replenishment as required.
- Assist with onboarding new employees by preparing welcome kits and coordinating initial paperwork.
Facility and Office Management:
- Monitor the cleanliness and organization of the office space, including common areas.
- Coordinate with vendors, service providers, and facilities management to ensure smooth office operations.
- Oversee maintenance of office equipment, including printers, phones, and computers.
Other Duties:
- Contribute to various ad-hoc projects, supporting different teams within the organization.
- Assist with data entry, report preparation, and other tasks as needed by senior management.
Required Qualifications:
- Education: Bachelor's degree in Business Administration, Management, or a related field.
- Experience: 0-1 year of experience in a front office or administrative role.
Skills:
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to work effectively both independently and in a team.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management procedures and systems.
